Save and Run

Who this is for. Administrators who set up or change AR Remittances. Only the SuperAdmin role can open, change, and run the AR Remittances configuration.

Availability. Only where the system of record (SoR) is Workday. AR Remittances must be enabled for your organization. See Roles and Access.

Overview

Save and Run is the last step of the configuration. It saves your choices and starts the instance. With AR Remittances as the only function, it comes straight after the Settings step.

The step shows two lines of text, a warning for each function you turned off, and two buttons. The buttons are Previous and Run. The step does not list the choices you made on earlier steps.

The two lines read:

  • Please go to SmartCustomer/Customer page to enroll customers after completing the SmartFlow configuration.
  • Click Run to save configuration and start SmartFlow automation

Before you start

  • Complete the Connection and Settings steps.
  • To review a choice before you run, use Previous. This step shows no summary.
  • If you cleared a function that the instance ran before, read the warnings on the step first.

Caution: If you clear Turn on AR Remittances on a running instance, this step shows a warning. It says the documents in Active Data and in Written to SoR will be lost. After you select Run, the instance stops processing remittances. Its Documents tab no longer appears. To keep working with the documents, leave the option selected.

Start the instance

  1. Read the lines on the step, and any red warning.
  2. Select Run. The configuration saves, the instance starts, and a dialog opens.
  3. To hide the dialog after later runs, select its checkbox.
  4. Close the dialog with its button.

The dialog reminds you to manage SmartCustomer instances from SmartFlow Skills Management. Its button opens the Dashboard of the SmartCustomer console.

Warnings on the step

A red warning appears for each function that the instance ran before and that you have now cleared. Each warning says what Run stops or removes.

Keeping a function that a warning names

Select Previous until the Settings step opens. Select the checkbox of the function again. Then select Continue until the Save and Run step opens. The warning no longer appears.

After the instance starts

  • The agent reads the connected mailbox. Each attachment of a selected file type becomes a document in Documents, under Active Data. For what happens next, read Documents Overview and Workflow.
  • Enrol your customers in AR Remittances on the Customers page. For how enrolment affects writes without review, see Write to SoR.
  • The Documents tab appears in the SmartCustomer console after an instance runs with AR Remittances turned on.
  • Payments reach Workday by the option you chose under Write to SoR. Write to SoR explains the three options.

Changes after the first run

To change a setting later, open the configuration from the pencil icon of the instance. Make the change, and run the configuration again. Your changes take effect after Run. Leaving the configuration before then discards them.

Understanding the Running Instances Table describes the pause and stop icons of an instance, including what stopping deletes. The pause icon pauses only the AR Collections and AR Helpdesk emails.

No control pauses remittance processing and keeps the documents. Clearing Turn on AR Remittances stops processing, as the caution above describes. The stop icon deletes the instance. To stop payments being written without review, select Collaborative Mode under Write to SoR. To pause processing and keep the documents, contact Auditoria.
