Connection

Who this is for. Administrators who set up AR Remittances. Only the SuperAdmin role can open and change the AR Remittances configuration.

Availability. Only where the system of record (SoR) is Workday. AR Remittances must be enabled for your organization. See Roles and Access.

Overview

Connection is the first step of the configuration. It pairs the instance with an SoR and a mailbox. For AR Remittances, the SoR is your Workday connection. The mailbox is the address your customers send remittance advice to.

The step opens with a panel headed Here is how Auditoria can help. The panel describes customer notifications and classification by payment pattern. Under the panel are two fields, ERP and Mailbox, and the Continue button.

The agent reads remittances from the mailbox you choose here. It writes payments to the Workday connection you choose here.

Before you start

These prerequisites apply to the whole configuration. Before You Start describes them in more detail.

  • A Workday connection in your organization. AR Remittances can be turned on only when the ERP you choose here is Workday.
  • A connected mailbox that receives the remittance emails from your customers.
  • A mailbox that no other SmartCustomer or AR Helpdesk instance uses. The ERP list also offers connections that running instances already use.
  • AR Remittances enabled for your organization.
  • The SuperAdmin role.

Choose the connection and the mailbox

Open the Connection step from SmartFlow Skills Management. For a new setup, use Run Again, which Understanding the Running Instances Table describes. Run Again opens a new setup on this step. For an existing instance, use its pencil icon.

  1. Under ERP, choose your Workday connection.
  2. Under Mailbox, choose the mailbox your customers send remittances to.
  3. Select Continue.

The Settings step opens. Continue is available after you choose both an ERP and a mailbox.

Variations

Editing an existing instance

On an existing instance, the ERP field shows the connection name, and you cannot change it. The Mailbox field shows the mailbox the instance uses. To go on to the Settings step, select Continue. Continue saves nothing on this step.

A connection other than Workday

If you choose an ERP connection that is not Workday, the Settings step does not offer Turn on AR Remittances. To use AR Remittances, choose your Workday connection.

Other fields on the step

The step can show two more fields than ERP and Mailbox:

  • Entity, when you edit an instance that has an entity. You cannot change it. A new setup does not show this field.
  • Bank Account, when SmartPay payment links are enabled for your organization and a bank is connected. AR Remittances does not use it.

Troubleshooting

When no connection or mailbox is available, the step shows a message in place of the list. The following table describes each message and what to do about it.
