Navigating to SmartFlow Skills Management

Who this is for. Administrators who set up AR Remittances. Only the SuperAdmin role can configure AR Remittances, and it sees every instance control.

Availability. Only where the system of record (SoR) is Workday. AR Remittances must be enabled for your organization. See Roles and Access.

Overview

SmartFlow Skills Management lists the SmartFlow Skills in your organization. You start here to find your SmartCustomer instance and to open its configuration.

AR Remittances is not a skill of its own. It is a function that you turn on inside a SmartCustomer instance. One instance can run any combination of AR Collections, AR Helpdesk, and AR Remittances.

From this page you can open the configuration of an instance, or start a new setup with Run Again. Understanding the Running Instances Table describes both controls.

Before you start

  • Sign in with the SuperAdmin role.
  • For a new setup, have your Workday connection and your remittance mailbox ready, as Before You Start lists.

Open SmartFlow Skills Management

  1. Sign in to the Auditoria console.
  2. In the navigation rail on the left, select the icon made of two circles and two squares.

The page headed SmartFlow Skills Management opens.

The page shows a search box and a Total count of skills. Under them, the skills sit in coloured group bars. SmartCustomer is in the Autonomous Order to Cash group. Its row shows how many instances are running, for example 3 instances running.

Find your instance

  1. Select the SmartCustomer row. A panel titled SmartCustomer opens over the page.
  2. Under Running Instances, find the row whose ERP column shows the name of your Workday connection.

Each row is one SmartCustomer instance. The table does not show which functions an instance runs. To see them, open the configuration of the instance and continue to the Settings step. The functions it runs are selected there.

Understanding the Running Instances Table describes each column of the table and each control for an instance.

Open the configuration of an instance

  1. In the SmartCustomer panel, find the row of the instance.
  2. In the Actions column, select the pencil icon.

The configuration opens on its first step, Connection. The page is titled SmartCustomer, with a step bar across the top and CANCEL at the upper right. To move to the next step, select Continue. Selecting a later step in the bar does not open it.

Configuration Workflow explains the steps and when your changes take effect.

Troubleshooting

When SmartCustomer is not listed

The SmartCustomer row appears only when SmartCustomer is enabled for your organization. Auditoria enables it. To have it enabled, contact your Customer Success Manager or Auditoria support.

When an instance is missing from the table

The SuperAdmin role sees every instance.

When no instance is listed, the panel shows this message in place of the table: There is no running instance for this SmartFlow or your mailbox access is restricted. Click the Run button below to start the process.

As SuperAdmin, you see this message only when your organization has no running SmartCustomer instance.

When the action icons are missing

For AR Remittances, the action icons are for the SuperAdmin role only. Ask your organization's SuperAdmin to make the change.
