Write to SoR

Who this is for. Administrators who decide how payments reach Workday or set up the second destination. Cash application staff who review remittances and written documents. Only the SuperAdmin role can change these settings and write documents.

Availability. Only where the system of record (SoR) is Workday. AR Remittances must be enabled for your organization. The Zero Payment Records option appears only when Write to another destination is selected. See Roles and Access.

Overview

Writing to the SoR turns the payment record of a document into a customer payment in Workday. A user writes a document with Write to SoR, on the document or in the Documents list. The agent can also write documents with no review.

The Write to SoR setting on the Settings step decides who writes. It offers three options: Collaborative Mode, Autonomous, and Configurable at Customer Level. With the third option, you choose the customers the agent writes for.

The setting decides whether a payment can reach Workday before anyone looks at the document. After a write, the document leaves Active Data and appears in Written to SoR.

The three options

The options differ in who writes each document. Each option shows a description under its label. The following table compares them.

Table 1. Write to SoR options

Option

Description on screen

Who writes

What happens

Collaborative Mode

Review all documents before writing to SoR

A user

Every document stays in Active Data until a user reviews it and selects Write to SoR.

Autonomous

Write all documents classified as Payments without requiring user review

The agent

The agent writes documents classified as Remittance with no user review. Documents it does not write stay in Active Data for a user.

Configurable at Customer Level

By default, require review for all documents and allow users to enroll specific customers into autonomous mode.

A user, or the agent for customers in autonomous mode

Every document waits for review, except the documents of customers in autonomous mode. The agent writes those documents with no review.

Autonomous mode for a customer

Under Configurable at Customer Level, you choose which customers the agent writes for without review. On a customer's page, the Write to SOR row has an Autonomous switch and Save. The Customers list also shows a Write to SoR column. Neither appears under Collaborative Mode.

For the steps, see Enrol Customers in AR Remittances.

Customer match status and writes without review

Under Autonomous, the agent writes documents classified as Remittance with no user review.

A user can write a document only when its Customer Match Status reads Known. The following table shows what a user does for a document in Active Data, by status.

Table 2. Next action by Customer Match Status

Customer Match Status

Next action

Known

A user reviews the document and selects Write to SoR. The document moves to Written to SoR.

Unknown

A user matches the document to a customer with Match with a Customer.

Unenrolled

A user enrols the customer in AR Remittances.

After you match or enrol the customer, select Write to SoR to write the document.

Customer hints help the agent match future remittances to the right customer. Customer Hints describes them.

Other documents that stay in Active Data

A document also stays in Active Data when Workday does not accept the write. Its status is then Failed to Reconcile. To see the reason, hover the status in the list. The document page also shows the reason in red. Correct the document with Edit, then select Write to SoR again.

The payment in Workday

A write creates a new customer payment in Workday. The payment is created unapplied. Its Memo field holds a link that opens the document in Auditoria.

AR Remittances does not update payments that already exist in Workday. It does not attach the remittance file to the payment, because Workday does not accept file attachments on customer payments.

AR Remittances does not limit the number of lines in a payment. If Workday rejects a large payment, the document stays in Active Data with the status Failed to Reconcile.

In Written to SoR, the Written By column shows who wrote each document. It reads AI Agent for the agent, or the name of the user.

When the instance also writes to a second destination, the payment goes there after the Workday write succeeds. Each payment gets its own CSV file. The file is uploaded at the next scheduled interval. For those files, read Write to Another Destination.

The options in practice

  • Under Collaborative Mode, your team reviews and writes every document.
  • Under Autonomous, Active Data holds the documents the agent did not write. Your team works through those documents.
  • Under Configurable at Customer Level, your team reviews the documents of every customer that is not in autonomous mode.
  • A switch between the options takes effect when you select Run.

Zero payment records

A zero payment record is a remittance whose Total Amount is 0.00 and whose line amounts add up to 0.00. Workday does not accept a payment of 0.00. Such a remittance cannot be written to Workday.

The Zero Payment Records option sends these remittances to your second destination only, with no Workday payment. The option sits under Write to another destination on the Settings step.

Effect of the option

The Zero Payment Records option changes only zero payment records. The following table compares the outcome with the option cleared and selected.

Table 3. Outcomes with Zero Payment Records cleared and selected

Remittance

Option cleared

Option selected

Total of 0.00, with line amounts that add up to 0.00

Workday does not accept a payment of 0.00, so the write fails. The document stays in Active Data with the status Failed to Reconcile. Hover the status to read the Workday message.

The remittance goes to the second destination only. No Workday payment exists for it.

Any other amount

The payment goes to Workday, then to the destination.

The payment goes to Workday, then to the destination.

Total of 0.00, with line amounts that do not add up to 0.00

Treated like any other amount: the write goes to Workday, even with the option selected. Workday does not accept a total of 0.00, so correct the amounts before you write.

A total that is not 0.00, with line amounts that add up to 0.00

Treated like any other amount: the write goes to Workday, even with the option selected.

Writing a zero payment record

A user writes a zero payment record with Write to SoR, the same action as for any other document.

When the agent writes without review, it writes zero payment records too. Their Written By value reads AI Agent.

Zero payment records in Written to SoR

A zero payment record moves to Written to SoR like any written document. While the option is on, the Zero Payment column there reads Yes for a zero payment record and No for other documents.

A zero payment record does not appear on the Payments tab.

A zero payment record gets a written date when it is written. It sorts by that date with the other documents. Some older zero payment records have no written date. They sort to the end of the Written to SoR list.

Zero payment records in practice

  • The option applies when a document is written, including documents that arrived before you selected it.
  • A bulk write can mix zero payment records and other documents. Each goes the way Table 3 shows.
