Understanding the Running Instances Table

Who this is for. Administrators who set up and maintain AR Remittances. Only the SuperAdmin role can configure AR Remittances, and it sees every instance control.

Availability. Only where the system of record (SoR) is Workday. AR Remittances must be enabled for your organization. See Roles and Access.

Overview

The Running Instances table sits in the SmartCustomer panel of SmartFlow Skills Management. Each row is one SmartCustomer instance. The Actions column holds the controls for the instance, and Run Again sits under the table. The panel shows the number of running instances, for example 3 instances running.

The table does not show which functions an instance runs. The Settings step of the instance's configuration shows them. Navigating to SmartFlow Skills Management shows how to open the panel and the configuration.

The ERP: picker in the SmartCustomer console can list instances that this table does not show.

The Show Description link under the panel title expands a general description of SmartCustomer.

Columns

The following table describes the columns of the Running Instances table, in the order the table shows them.

Table 1. Columns in the Running Instances table

Column

What it shows

ERP

The name of the SoR connection that the instance uses. The Connection step of the instance shows the same name in its ERP field.

Entity Name

The entity of the instance, when it has one. The cell is blank for an instance without an entity. The table shows no Mailbox column while any instance has an entity.

Mailbox

The mailbox of the instance. The table shows this column in place of Entity Name when no instance has an entity.

Status

Running, with a green dot, for every instance.

Notification

Ongoing, with a green bell, or Paused after you pause notifications. Notifications are the AR Collections and AR Helpdesk emails of the instance.

Actions

Four icons that control the instance. The next section describes them.

Instance controls

The Actions column holds four icons with no text labels. The icons show no tooltip when you hover them. This guide calls them the pause, stop, edit and copy icons. A screen reader announces them as Pause, Delete, Edit and Copy. The Run Again button sits under the table.

Caution: The stop icon deletes the instance after you confirm. It also deletes its configuration and all its AR Remittances documents. These include the documents in Active Data and Written to SoR. You cannot restore a stopped instance. Payments already in Workday are not affected. To change a setting, use the pencil icon instead.

The following table describes each control, in the order it appears on screen.

Table 2. What each instance control does

Control

What it does

Pause icon: a red circle with two white bars and a small bell

Pauses the notifications of the instance only. Notification then reads Paused. AR Remittances goes on reading the mailbox and processing remittances.

Stop icon: a red circle with a white square

Opens a dialog that asks you to confirm. Confirming deletes the instance, as the caution above describes.

Edit icon: a blue pencil

Opens the configuration of the instance on its Connection step.

CANCEL on the configuration returns to SmartFlow Skills Management with no prompt. It discards the changes you have not run.

Copy icon: a blue icon of two overlapping pages

Opens a new, blank setup. ERP reads Please Select, and no mailbox is chosen. Nothing is copied from the instance. To set up a similar instance, select Run Again and enter the settings.

Run Again, under the table

Starts the setup of a new SmartCustomer instance. The setup opens on the Connection step, and its step bar lists all seven steps. With no SmartCustomer instance, the button reads Run.

The Mailbox field lists nothing when another SmartCustomer or AR Helpdesk instance already uses each mailbox you can access. It then reads You have already started the SmartFlow Skills for the connected emails to which you have access. See Connection.
