Customers

Who this is for. AR and cash-application staff who decide whose payments AR Remittances writes, and admins who manage SmartCustomer. For AR Remittances, only the SuperAdmin role can open the list and its enrolment controls.

Availability. The Customers tab appears in every SmartCustomer console. The AR Remittances enrolment option appears when AR Remittances is turned on for the instance. AR Remittances runs only on Workday. See Roles and Access.

Overview

The Customers tab lists your customers, with their enrolment and their open balances. You enrol customers in AR Remittances here, from the list or from a customer's page. For the steps, see Enrol Customers in AR Remittances.

Customer hints are set from a document, not from this tab. See Customer Hints.

Customer list

The title counts the customers in the list. A line under the title can count the customer records added since a given date. Clear All Filters appears when a filter is set.

An Entity: select sits at the right of the page. Choosing an entity shows that entity's balances, in its currency. It also changes the order of the rows. The number of customers stays the same. The choice is not kept after you reload the page.

Table 1 lists the columns. The column set comes from your organization's configuration, and Edit Columns chooses which of them show. Hierarchy and Relaxed Matching Domains appear only where your organization uses those features.

Table 1. Customer list columns

Column

Holds

Customer Name

The customer's name, which opens the customer page.

Customer ID

The customer's identifier, such as C-1001.

Enrolled

One icon for each function the instance runs, such as AR Helpdesk and AR Remittances. Hover an icon to see its tooltip, such as Enrolled in AR Remittances or Unenrolled from AR Remittances.

Write to SoR

The customer's write setting under Configurable at Customer Level. The column does not appear under Collaborative Mode. See Write to SoR.

Hierarchy

The customer's place in a customer hierarchy, or [None].

Active Disputes

The number of active disputes for the customer.

Open Balance

A heading that spans seven columns, from Total Balance to Unapplied Payment. Between them are Current Balance and the age buckets 1-30 Days to 90+ Days.

Unapplied Payment

The amount of the customer's payments that is not yet applied.

Unapplied Credit

The amount of the customer's credits that is not yet applied.

Next Scheduled Payment Date

The date of the customer's next scheduled payment, or [N/A].

Next Scheduled Payment Amount

The amount of that payment, or [N/A].

Oldest Invoice Age

The age in days of the customer's oldest open invoice. It counts from that invoice's due date to the date of the customer data. Age (Days) on the Invoices tab counts to today instead, so the two can differ.

Relaxed Matching Domains

A value set for the customer, or [None]. Table 2 lists the toolbar control of the same name.

Tags

The customer's tags, or [None].

Toolbar

A search box and a row of icons sit at the right of the title. The icons carry no text, and the ones you see can depend on your role. Table 2 gives the tooltip of each, from left to right.

Table 2. Customer toolbar controls

Control

Use

Enroll or unenroll

Enrols the selected customers in a function, or unenrols them. See Enrol Customers in AR Remittances.

Relaxed Matching Domains

Sets email domains for a customer. AR Collections and AR Helpdesk use them to recognise senders. They do not affect how AR Remittances matches remittances.

Tag

Adds tags to customers. The Tags column shows them.

Filter Records

Filters the list.

Edit Columns

Chooses which columns the list shows.

Export Customers

Exports the customer list as a CSV file. The file holds every customer that matches the current filters, in the columns the list shows. The export ignores the search box. Depending on your organization's settings, the file downloads at once or arrives in Downloads under the bell icon.

Enrolment in AR Remittances

Each customer is enrolled or unenrolled separately in each function the instance runs. For example, a customer can be enrolled in AR Helpdesk and unenrolled in AR Remittances. To change enrolment, see Enrol Customers in AR Remittances.

A document's Customer Match Status has one of three values: Known, Unknown, or Unenrolled. The Documents list shows the same value as Customer Status. For what each value means, see Classification, Status and Confidence.

Whether the agent writes a customer's documents without review depends on the instance's Write to SoR setting. Under Configurable at Customer Level, you put customers in autonomous mode one by one, on the customer page. See Write to SoR.

You can check enrolment from a document too. On a document's details page, the Match with a Customer list marks each customer Enrolled or Unenrolled. For a customer who is not enrolled, the details page shows an Enroll button beside Customer Match Status. See Document Information.

A customer's name opens the customer page. Its breadcrumb reads Customers and the customer's name. A Timezone toggle at the right offers Local and UTC.

Table 3 lists the parts of the page from the top.

Table 3. Parts of the customer page

Part

Enrollment

Write to SOR

An Autonomous switch, and Save. The switch puts the customer in autonomous mode. The row appears under Configurable at Customer Level, and not under Collaborative Mode.
