Document Information

Who this is for. AR and cash-application staff who review remittances and write payments to Workday. Only the SuperAdmin role can use AR Remittances. See Roles and Access.

Availability. The Documents tab appears when AR Remittances is enabled for your organization and turned on for the selected instance. You choose the instance in the ERP: picker. You can turn on AR Remittances only on an instance whose system of record (SoR) is Workday.

Overview

The Document Information page shows one document beside the values the agent extracted from it. You compare the customer and the payment record with the attachment. You correct any wrong value, then write the payment to the SoR.

To open the page, select the document icon beside the File Type value of a row in any Documents sub-tab. The actions on the page depend on the sub-tab you open it from.

Table 2. Preview pane controls

Control

What it does

File name

Names the attachment. A document holds one file.

All Pages and Extraction Pages

Switch between every page of the file and the pages the agent extracted from. Extraction Pages is selected when the page opens.

Page navigation

Moves between pages and shows the current page number.

Zoom

Minus and plus buttons change the zoom level, shown as a percentage such as 150%.

Enter full screen

Shows the preview on the whole screen.

Rotate

Rotates the preview.

Download

When the preview cannot show a file, it shows Preview not supported for <file name> with a Download button. This happens on a spreadsheet document changed from Others to a remittance. Download the file to read it.

For a password-protected PDF, the preview reads This document is password-protected. Please enter a password. It shows a password box and Show document.

Customer block

The customer block sits at the top of the right panel. It shows the matched customer and the state of the document. Classification, Status and Confidence explains each value.

Table 3. Fields and controls in the customer block

Field

What it shows

Control beside it

Customer

The matched customer's name and ID, such as Northwind Traders (C-1001), or Unknown Customer.

Match with a Customer, which opens a searchable customer list. See Customer Hints.

Classification

Remittance or Others.

Not a Payment, on a remittance. Change to Payment, on an Others document. An Others document shows no Edit, Write to SoR, or Match with a Customer. Change to Payment runs at once, with no confirmation dialog. The document becomes a Remittance with the status New and an Unknown Customer. Match the customer and fill in the payment record before you write it.

Customer Match Status

Known, Unknown, or Unenrolled.

Enroll, for an Unenrolled customer. Selecting it enrols the customer in AR Remittances. The customer's open documents then read Known, and you can write them. Until then, Edit does not appear and Write to SoR is unavailable.

Document Status

The status of the document.

None

Payment Record

The Payment Record holds the header fields the agent extracted. Which fields appear, and their labels, depend on how your organization's payment record is configured. Table 4 lists the standard fields. A field with no value shows --.

Table 4. Standard payment record fields

Field

What it holds

Entity

The entity that receives the payment. See How the Entity Field Is Set.

Payment Date

The date of the payment.

Total Amount

The total amount of the payment.

Currency

The currency of the payment. The document list shows it in the Currency column.

Payment Number

The payment number on the remittance.

Transaction Reference

The transaction reference on the remittance. The agent also uses it, with the payment number, to find duplicate remittances. How AR Remittances Processes a Remittance gives the full rule.

The customer shows in the customer block, not in the payment record. Your organization's configuration can add further fields.

Line Items

Line Items lists the invoice or bill lines that the payment covers, one row per line. The number of lines shows in brackets after the heading. The columns depend on your organization's configuration.

Table 5. Line Items controls

Control

What it does

Show Sum and Hide Sum

Show or hide the bold Sum row under the lines. Show Sum is selected when the page opens.

Column picker

Chooses which columns the table shows.

Filter icon in a column header

Filters the lines on that column.

Menu in a column header

Opens the options for that column.

Paging buttons First Page, Previous Page, Next Page, and Last Page

Move through the pages of lines.

The Sum row shows one total, under Invoice Amount. Compare it with Total Amount in the payment record to check that the lines cover the whole payment. You cannot edit the Sum row. It totals the lines shown, so a column filter changes the total. The Sum row is hidden while you edit and returns when you save or cancel. After a save, it totals the saved amounts.

Email Threads

Email Threads shows the email that delivered the attachment. The email carries the same details here as in the Mailbox.

Table 6. Email Threads contents

Item

What it shows

Customer Inbox

A button that opens the Mailbox on the email that brought the document.

Email card

The subject and the sender, the date and time received, and the To address.

Language controls

A chip with the detected language and Edit Detected Language, and an icon titled Translate this content. Selecting the icon opens a list of languages with a search box. Choosing a language translates the email into it. Two buttons follow: English (Original), and English (Unavailable), which cannot be selected.

Attachment count

The number of files attached to the email, such as Attachment (1).

Documents created

A line such as 1 Document created from 1 attachment.

In the Mailbox, the same email also shows a table of its attachments and the documents created from them. See Mailbox.

Document history

View Document History opens a panel that lists the changes recorded on the document, by the agent and by users. A refresh icon beside the panel title reloads the history. The AI Agent and User checkboxes at the top choose whose changes the list shows. Both are selected when the panel opens.

Table 7. History entry columns

Done By

Who made the change: AI Agent for the agent, or the user's name.

Selecting an entry shows its field detail. Most AI Agent entries use the columns in Table 8.

Table 8. Field detail columns

What it shows

Field Type

Whether the field is a header field or a line field.

Field Name

The field that changed.

Extracted Value

The value the agent read from the document.

Predictive Coding marks a value predicted from the values used on earlier records. A value that starts with Business Rule: names the business rule that set it.

An entry by a user uses other columns: Field Type, Action, Field Name, Previous Value, and Modified Value. Action shows what the user did, such as Modify for a changed field or Add for a new line. The AI Agent entry that records a document's creation uses these columns too, with the Action Creation.

History covers changes recorded after document history was turned on for your organization. For an older document, the panel reads No audit history available.

Note: Determined By reads Extraction for a value that an AR remittance mapping set. For mappings, see AR Remittance Mapping Overview.
