Classification, Status and Confidence

Who this is for. AR and cash-application staff who review remittances in the Documents tab of SmartCustomer. Only the SuperAdmin role can use AR Remittances. See Roles and Access.

Availability. The Documents tab appears when AR Remittances is enabled for your organization and turned on for the selected instance. You choose the instance in the ERP: picker. You can turn on AR Remittances only on an instance whose system of record (SoR) is Workday.

Overview

Four signals describe each document that AR Remittances creates from an email attachment. Together they say what the document is, whether the agent found the customer, and what you can do next.

Each signal has a column in the document list. Three of them also show on the Document Information page, under their own labels.

Classification

Classification is the agent's decision about what an attachment is. It shows as File Type in the list and as Classification on the Document Information page.

Table 2. Classification values

Value

What the agent does

Actions on the document

Remittance

Extracts a payment record from the attachment. The record holds header fields and line items.

Edit, Write to SoR, and Dismiss. Which of them show depends on the customer and the status. Not a Payment reclassifies the document and dismisses it.

Others

Treats the attachment as something other than a remittance. From a password-protected PDF, it extracts no field. Other documents classified as Others show no Payment Number, and their payment record fields read --. Their Total Amount reads 0 or is blank.

Dismiss, or Change to Payment when the attachment is a remittance. Edit, Write to SoR, and Match with a Customer do not show. Change to Payment runs at once, with no confirmation dialog. The document becomes a Remittance with the status New and an Unknown Customer. Match the customer and fill in the payment record before you write it.

Table 3 lists reasons an attachment can be classified as Others.

Table 3. Reasons an attachment is classified as Others

Reason

Detail

The attachment is not a remittance

For example, an invoice that asks for payment, or another file that holds no payment.

The header sits under the line items

A spreadsheet with its header rows under the line items is classified as Others.

The PDF is password-protected

A password-protected PDF is classified as Others, with the status Record is not a Customer Remittance.

The agent does not extract a file type that your AR Remittances settings leave cleared. It creates no document from such a file. See Settings.

Customer Match Status

Customer Match Status says whether the agent matched the remittance to a customer. It also says whether that customer is enrolled in AR Remittances. It shows as Customer Status in the list and as Customer Match Status on the Document Information page. A document classified as Others reads Unknown. A match you make from the document page sets Known, because the match enrols the customer.

Table 4. Customer Match Status values

Value

What it means

Effect on writing

Known

The agent matched the remittance to a customer who is enrolled in AR Remittances.

The list row and the Document Information page offer Write to SoR when the status allows it.

Unknown

The agent did not match the remittance to any customer. The customer shows as Unknown Customer.

The list row offers Dismiss only. On the Document Information page, Write to SoR shows but is unavailable until the customer is matched. The toolbar Action menu lists Write to SoR for such a document. See Toolbar Actions.

Unenrolled

The agent matched the remittance to a customer who is not enrolled in AR Remittances.

Enrol the customer before you write the document. On the Document Information page, Write to SoR shows but is unavailable, and Edit does not show. An Enroll button beside Customer Match Status enrols the customer.

Whether the agent writes a document without review depends on the Write to SoR setting. See Write to SoR. After you match or enrol the customer, select Write to SoR to write the document.

To match a customer or enrol one from a document, see Customer Hints. To enrol customers from the customer list, see Enrol Customers in AR Remittances.

Confidence Level

Confidence Level rates each document High, Medium, or Low. The list shows a coloured dot beside the level. The Document Information page does not show the level.

The level rates how sure the agent is of the values it extracted. The agent sets it once, when it creates the document.

Confidence Level and Customer Match Status are separate signals. A document can show High with an Unknown customer, or Low with a Known one. Read the level together with Customer Status, not in place of it.

On the Document Information page, an orange background can mark the Bank Account value when it is empty. Other empty fields do not get it. The orange background marks a value the agent extracted with low confidence. Check that value against the preview.

To filter the list by level, see Active Data Tab.

Document Status

Document Status says where a document is in processing and which actions it allows. It shows in the Status column of each Documents sub-tab and as Document Status on the Document Information page.

The Status filter on Active Data can list a status that no document there has, such as Record updated. The actions in the following tables come from the status. In the row menu and on the Document Information page, Write to SoR also needs a Known customer.

Review statuses

These statuses mark documents that wait in Active Data for your review.

Table 5. Statuses of documents that wait for review

Status

What it reports

Actions it allows

New

A document as the agent created it from an attachment.

Dismiss, Write to SoR, Edit

Edited

A document that someone changed after the agent created it.

Dismiss, Write to SoR, Edit

Moved to Active Data

A document moved back to Active Data from Dismissed Documents. Every moved document gets this status, whatever its classification.

For a remittance: Dismiss, Write to SoR, Edit. Write to SoR needs a Known customer. For an Others document: Dismiss. The document page also offers Change to Payment.

Manual Remittance

A remittance a user created by hand from an email in the Mailbox. The agent did not extract it from an attachment.

Dismiss, Write to SoR, Edit

Manual Vendor Bill

An earlier label for Manual Remittance. Older hand-made remittances can still show it.

Dismiss, Write to SoR, Edit

File statuses

These statuses flag a file to review before you write it. Compare the extracted values with the preview first. The agent sets the three Please Review statuses per email. Every document from the email gets the status, even when another attachment caused it.

Table 6. Statuses that flag a file for review

Status

What it reports

Actions it allows

Large File Please Review

An email over a size limit. The limits are 150 pages across its attachments, or 500 rows or 60 columns in a spreadsheet or CSV file. Every document from that email gets the status.

Dismiss, Write to SoR, Edit

Multi Tab File Please Review

A spreadsheet with more than one tab. The agent reads the first tab only, and the status flags the file for review.

Dismiss, Write to SoR, Edit

Large & Multi Tab File Please Review

An email that is over a size limit and also holds a spreadsheet with more than one tab. Every document from that email gets the status.

Dismiss, Write to SoR, Edit

Record is not a Customer Remittance

The agent decided the attachment is not a customer remittance. Most Others documents have this status. An Others document can also show Moved to Active Data, Multi Tab File Please Review, Large File Please Review, or Failed to Reconcile.

Dismiss. The document page also offers Change to Payment.

Write statuses

These statuses follow a document through Write to SoR.

Table 7. Statuses during and after a write

Status

What it reports

Actions it allows

Upload in progress

The write to the SoR is running.

The row menu lists Dismiss and Write to SoR. On the document page, both are unavailable, and Edit does not show.

Record updated

The write to the SoR completed. Documents in Written to SoR show this status. A document leaves Active Data as soon as it gets this status.

None

Failed to Reconcile

The write did not go through, and the document stays in Active Data. The reason Workday returned shows in red above the action buttons on the document page. In the list, point to the status to read it.

Dismiss, Write to SoR, Edit

Failed to sync to sor after write

The payment was written to Workday, but its record did not sync back to Auditoria. The document shows in Written to SoR. Do not write it again. Check the payment in Workday, then contact Support.

None. Written to SoR offers no actions.
