Invoices

Who this is for. AR and cash-application staff who check the invoices a remittance pays. For AR Remittances, only the SuperAdmin role has access to this tab.

Availability. The Invoices tab appears in every SmartCustomer console.

Overview

The Invoices tab lists your customers' invoices, with their status and amounts. Each invoice number opens that invoice's details page. The invoices are a copy that Auditoria synchronizes from Workday. For how often the copy refreshes, see The SmartCustomer Console.

A remittance advice says what a payment covers. AR Remittances extracts the invoices it names as line items on the document's payment record. On this tab, you can look up an invoice that a line item names. You can check its status, its due date, and the amount still open.

AR Remittances creates the payment in Workday unapplied, with the remittance lines as remittance advice. AR Remittances does not apply the payment to these invoices. That happens in Workday.

Toolbar

The toolbar sits at the right of the title. Table 1 lists its controls from left to right.

Table 1. Invoices toolbar

Control

Use

Currency, with Base and Foreign

Switches the amount columns. Base shows amounts in your base currency. An invoice's details page names it in its Base Currency field. Foreign shows each record's amounts in the record's own currency. Under Foreign, an empty Disputed Amount reads NA instead of --.

Notification

Belongs to AR Collections. This guide does not cover it.

Search box

Searches the list.

Tag

Adds tags to invoices. Each row has a checkbox for selecting it.

Filter Records

Filters the list.

Edit Columns

Chooses which columns the list shows.

Export Invoices

Exports the invoice list as a CSV file. The file holds every invoice that matches the current search and filters, in the columns the list shows. Amounts follow the Currency toggle. Depending on your organization's settings, the file downloads at once or arrives in Downloads under the bell icon.

Invoice list

Each row is one invoice. Table 2 lists the columns. The columns come from your organization's configuration, which can add extended fields. Edit Columns chooses which of them show for you.
