Enrol Customers in AR Remittances

Who this is for. AR and cash-application staff who decide whose payments AR Remittances writes, and admins who manage SmartCustomer. For AR Remittances, only the SuperAdmin role has access.

Availability. The AR Remittances enrolment option appears when AR Remittances is turned on for the instance. AR Remittances runs only on Workday. See Roles and Access.

Overview

After the instance runs, enrol the customers whose payments you want AR Remittances to write. Enrolment is per function. Enrolling a customer in AR Helpdesk does not enrol it in AR Remittances.

You can change enrolment in two places. The Customers list changes one customer or several in one step. The customer page changes one customer.

The customer page can also put a customer in autonomous mode. The agent then writes that customer's documents without review. This control appears when the instance's Write to SoR setting is Configurable at Customer Level. It does not appear under Collaborative Mode.

Customers describes the list columns, the toolbar, and the parts of the customer page.

Before you start

  • Sign in with the SuperAdmin role.

  • The instance chosen in the ERP: picker must run AR Remittances. Otherwise the AR Remittances option does not appear.

Enrol or unenrol customers from the list

Use the list to change the enrolment of one customer or several in one step.

  1. On the Customers tab, select the checkbox of each customer you want to change. The title shows how many you selected.

  2. Select Enroll or unenroll in the toolbar. The icon has no text, and its tooltip gives the name. A popover opens, headed Select SmartFlow Skill to Enroll or unenroll, with a checkbox for each function. When only some of the selected customers are enrolled in a function, its checkbox shows a dash. Select a dashed checkbox once to enrol all the selected customers, or twice to unenrol them all. A third selection returns it to the dash, which changes nothing. When none of them is enrolled in a function, its checkbox is clear.

  3. To enrol the customers, select AR Remittances. To unenrol them, clear it. Cancel and Apply appear after you change a checkbox. After you unenrol a customer, AR Remittances no longer writes payments from that customer's new emails. The customer's documents that are already Known stay Known, and you can still write them.

  4. Select Apply. To discard the change instead, select Cancel. After Apply, the popover closes and the list refreshes. If you selected all customers, a progress dialog shows the change as it runs.

To close the popover before you change a checkbox, press Esc.

A change to enrolment on the Customers tab applies from the next email the mailbox receives. Documents already in Active Data do not change. Enrolling a customer from a document's details page also makes that customer's unwritten documents in Active Data Known at once.

One change can cover up to 10,000 customers.

Put a customer in autonomous mode

Use the customer page to let the agent write one customer's documents without review. The instance must use Configurable at Customer Level under Write to SoR. See Write to SoR.

  1. On the Customers tab, select the customer's name. The customer page opens.

  2. In the Write to SOR row, turn on the Autonomous switch.

  3. Select Save.

Check a customer's enrolment

You can see whether a customer is enrolled in AR Remittances in three places:

  • The Enrolled column of the Customers list shows one icon for each function the instance runs. Hover the icons to find the one that names AR Remittances. Its tooltip reads Enrolled in AR Remittances or Unenrolled from AR Remittances.

  • On the customer page, the AR Remittances switch in the Enrollment row is on for an enrolled customer.

  • On a document's details page, the Match with a Customer list marks each customer Enrolled or Unenrolled.

The Delegated to Auditoria field on the customer page does not show AR Remittances enrolment. It shows whether the customer is enrolled in AR Collections. For example, a customer can have the AR Remittances switch on and the AR Collections switch off. The field then reads No.
