Who this is for. AR and cash-application staff who work in the Documents lists. Only the SuperAdmin role can open the Documents lists, and it sees every control described here. See Roles and Access.
Availability. The Documents tab appears when AR Remittances is enabled for your organization and turned on for the selected instance. You choose the instance in the ERP: picker. You can turn on AR Remittances only on an instance whose system of record (SoR) is Workday.
Overview
The toolbar runs along the top of the document list on each sub-tab of Documents. Most of its controls change what the list shows, or export it. Action is the exception, because it changes the documents you select.
The title at the left of the toolbar reads Documents, followed by the number of documents in brackets.

Toolbar controls
The following table lists the controls from left to right. Written to SoR shows every control except Action.
Table 1. Toolbar controls from left to right, by sub-tab
| Control | What it does | Sub-tabs |
|---|---|---|
| Action | Applies an action to the documents you select. Its items are listed later in this article. | Active Data, Dismissed Documents |
| Download | Exports the list as a CSV file. The details are later in this article. | All three |
| Refresh icon, tooltip Refresh | Reloads the list. | All three |
| Search box | Searches the Customer Name and Payment Number columns for the text you type. It does not search Attachment Name or Entity. It does not search Status, Currency, or Transaction Reference either. | All three |
| Filter icon, tooltip Filter Records | Shows or hides the filter row under the column headers. For the operators, see Active Data Tab. | All three |
| Columns icon, tooltip Edit Columns | Opens the Edit Columns panel, described later in this article. | All three |
| Export icon, tooltip AI Agent Activity | Opens the ARR Agent Activity dialog, the same one as on the Dashboard. See AR Remittances Activity Summary. | All three |
Search finds text you already know. A filter sets a condition on a column, such as Customer Status Unknown.
Action menu
Select a document with the check box at the start of its row, then open Action. With nothing selected, Action shows Please select records to change action.
Caution: Write to SoR in this menu starts the write at once, with no confirmation step. The menu lists it even for a document whose Customer Status is Unknown. The row menu of that document offers only Dismiss. If the selection holds a document whose customer is not Known, nothing is written. An error then says that only payments from known, enrolled customers can be written. Before you choose it, confirm that the selected document shows Customer Status Known. The console offers no action that moves a written document back to Active Data.
The items depend on the sub-tab, as the following table shows.
Table 2. Action menu items by sub-tab
| Sub-tab | Items | What each item does |
|---|---|---|
| Active Data | Dismiss, Write to SoR | Dismiss moves the document to Dismissed Documents. It first asks for a reason when your organization has the Reason to Dismiss box turned on. Write to SoR writes the document to Workday. |
| Dismissed Documents | Move to Active Data, Purge | Move to Active Data returns the document to Active Data at once, with no confirmation. Purge deletes it after a confirmation. For the steps, see Dismissed Documents Tab. |
| Written to SoR | No Action menu | The list offers no action on written documents. |
You can select more than one document. With two documents selected on Active Data, the menu still offers Dismiss and Write to SoR. The item you choose applies to every selected document in one step. Dismiss gives them all the same reason. If any selected document cannot be written, Write to SoR writes none of them.
A selection does not survive a page change. Moving to another page clears the selection. Coming back to the first page does not restore it.
Download
Download exports the documents in the current view as a CSV file. The export follows your filters, your search, and the columns you show. Selecting rows does not limit it.
How the file reaches you depends first on your organization's settings, and then on the size of the view.
Table 3. How the download is delivered
| Situation | What happens |
|---|---|
| Your organization delivers exports to the notification panel | The file is built in the background and arrives under Downloads in the notification panel, whatever the size of the view. |
| Otherwise, up to 10,000 documents in the view | The CSV file downloads. |
| Otherwise, more than 10,000 documents in the view | A message says that a download covers up to 10,000 records, and asks you to filter the view. Narrow the view with filters, then download again. |
Edit Columns
The Edit Columns panel sets which columns the list shows. It has a search box, a list of locked columns, and a list of optional columns with check boxes. A lock icon marks each locked column. You cannot hide a locked column.
The following table shows the default columns of Active Data by type. Your organization's set can differ.
Table 4. Locked and optional columns in Active Data
| Locked columns | Optional columns |
|---|---|
|
Customer Name File Type Confidence Level Customer Status Payment Number Received Date Status |
Payment Date Attachment Name Currency Total Amount Entity Transaction Reference |
The columns icon in the toolbar opens the panel. The check box of an optional column shows or hides that column after you select Apply.
Figure 2. The Edit Columns panel on Active Data
Restore Default returns the panel to the default columns, not to the set you saved last.
Edit Columns saves your choice for you only. It applies to the selected instance and the sub-tab you are on. On Written to SoR and Dismissed Documents, the panel also lists the columns that only that sub-tab has.
On Written to SoR, Written By is locked and Zero Payment is optional. The locked columns on Dismissed Documents are Dismissed Reason, Dismissed By, and Tags. The list itself shows no Tags column. Dismissed Date is optional there. On both sub-tabs, every optional column shows by default.
