AR Remittances Activity Summary

Who this is for. AR managers and cash-application staff who monitor remittance processing. Only the SuperAdmin role sees this section and its export icon. See Roles and Access.

Availability. The section appears when the instance selected in the ERP: picker has AR Remittances turned on. You can turn on AR Remittances only on an instance whose system of record (SoR) is Workday.

Overview

The AR Remittances Activity Summary is a section of the SmartCustomer Dashboard. It counts the emails the agent received and the remittances it extracted, over a range you choose.

The section reports on the instance selected in the ERP: picker. Use it to watch remittance volume, and how much of it comes from unknown customers.

The section sits on the Dashboard tab, the first tab of the SmartCustomer console. The SmartCustomer Console describes the navigation rail, the pickers, and the tabs.

Two AR Remittances sections sit above it, Document Intelligence and Top Customers. Document Intelligence and Top Customers describes them. The Dashboard can show other sections as well. They report on other SmartCustomer functions the instance runs, such as AR Helpdesk and AR Collections, and on tasks. This article covers only the AR Remittances Activity Summary.

Section controls

The title bar of the section holds its controls. The range you select applies to the counters and to the charts.

Table 1. Controls in the title bar

Control What it does
Triangle beside the title Collapses or expands the section.
1 Day, 7 Days, 30 Days, 365 Days Sets the range. 1 Day is the default. The selected range shows in grey, and the other ranges show as links.
Export icon, at the right end of the bar Opens the ARR Agent Activity dialog. Its tooltip reads AI Agent Activity.

The section has no custom date range. The export, described later in this article, covers a date range you set.

Accounts Under Management counters

The left half of the section, Accounts Under Management, shows four counters for the selected range. Each counter is a number with its label under it.

Table 2. Counters and what each one counts

Counter Counts
Emails Received by AI Agent The distinct emails that AR Remittances processed.
Remittances Extracted from Unknown Customers Remittances the agent extracted and matched to no customer.
Remittances Extracted from Known Customers Remittances the agent extracted and matched to a customer. The count includes customers who are not enrolled in AR Remittances. It also includes duplicate remittances from a matched customer.
Other Documents Received Every extracted item that is not a remittance, including files classified as Others.

The counters do not separate enrolled from unenrolled customers. The export, described later in this article, does.

To match a remittance from an unknown customer, see Customer Hints.

Notices and Responses charts

The right half of the section, Notices and Responses, holds three pie charts. The first chart counts emails, and the other two count documents.

The charts print no numbers and have no legend. Point to a slice to see its label and its count. The tooltip shows the label, a colon, and the count. Selecting a slice opens nothing.

Table 3. Slice labels in the chart tooltips

Chart Slice labels
Emails Received Emails with only remittances from known customers attached
Emails with some remittances from unknown or duplicate remittances
Emails with no attachments or only non-remittances attachments
Documents Processed Customer Remittances from Known Customers
Customer Remittances from Unknown Customers
Duplicate Customer Remittances Not Processed
Documents Actions Dismissed Documents
Remittances written to SoR

The first two Documents Processed slices split remittances by customer match, as the two remittance counters do.

When the range holds no activity, each chart shows No Data To Display, and the counters show 0.

AI Agent Activity export

The ARR Agent Activity dialog exports the agent's activity for dates you set, separately from the range links. The AI Agent Activity icon on the Documents toolbar opens the same dialog.

Table 4. Fields in the ARR Agent Activity dialog

Field or button What it does
Start Date The first day to export. It opens 90 days before today. Type a date, or pick one with the calendar button.
End Date The last day to export. It opens on today.
Download Queues an export for the dates set. Nothing downloads at once.

Figure 2. The ARR Agent Activity dialog

If the end date comes before the start date, the dialog shows End date must be after start date. A date after today shows Date cannot be in the future. Download is unavailable while either message shows. If the export request fails, the dialog shows a message that asks you to try again.

The dialog has no Cancel or close button. To close it without downloading, press Escape.

When your organization delivers exports to the notification panel, the file arrives there. Its Downloads tab then lists arr_agent_activity.csv is ready to download, with a Download button that fetches the file. If the range holds no activity, the export still starts. Its row under Downloads then reports that no data was available, with the status No data. The export produces no file.

The file holds one row per email, with the following columns:

  • Message ID

  • Date (PDT)

  • From

  • To

  • Subject

  • Body (100 chars)

  • Attachments

  • Email Tags

  • Customer Remittances recognized by classifier

  • Remittances from known, enrolled customers
