Payments

Who this is for. AR and cash-application staff who check customer payments and the payments that AR Remittances writes. For AR Remittances, only the SuperAdmin role has access to this tab.

Availability. The Payments tab appears in every SmartCustomer console.

Overview

The Payments tab lists your customers' payments, with the amounts applied and unapplied. Each payment number opens that payment's details page.

A payment on this tab is not the same thing as a payment record on a document. The next section compares the two. It also says what happens in Workday when you write a remittance.

Payments and payment records

AR Remittances reads each remittance into a payment record. Writing the document to the system of record (SoR) creates a payment in Workday. Table 1 compares a payment record with a payment on this tab.

What you can do

Check and correct the fields, then select Write to SoR.

Look it up. The tab has no edit controls.

A written payment is created unapplied. Its Memo field in Workday holds a link back to the document in Auditoria.

A written payment appears on this tab right after the write. If AR Remittances cannot read the new payment back from Workday, it starts a sync of the connection at once. The payment then appears when the sync finishes.

The Written to SoR sub-tab of Documents lists the documents that were written. Its Written By column shows AI Agent or the name of the user who wrote the document. See Written to SoR Tab.

Toolbar

The toolbar sits at the right of the title. Table 2 lists its controls from left to right. The toolbar has no Tag icon, and the rows have no checkboxes.

Currency, with Base and Foreign

Switches the amount columns. Base shows amounts in your base currency. A payment's details page names it in its Base Currency field. Foreign shows each record's amounts in the record's own currency.

Search box

Searches the list.

Filter Records

Filters the list.

Edit Columns

Chooses which columns the list shows.

Export Payments

Exports the payment list as a CSV file. The file holds every payment that matches the current search and filters, in the columns the list shows. Amounts follow the Currency toggle. Depending on your organization's settings, the file downloads at once or arrives in Downloads under the bell icon.

Payment list

Each row is one payment. The list starts with the columns in Table 3. Further columns show the extended fields your organization adds.

Column

Holds

Payment No

The payment's number, which opens the details page.

Customer Name

The customer who paid, shown as a link that opens the customer page.

Entity

The company the payment belongs to in Workday, by name. Where the name is not known, the column shows the company's Workday identifier.

Whether the payment is applied, such as Unapplied.

Amount

The payment amount, in the currency that the Currency toggle selects.

Amount Applied

The part of the amount that is applied.

Payment details page

The details page opens from a payment number. Its breadcrumb reads Payments and the payment number. A Timezone toggle at the right offers Local and UTC. Two links lead to related records, Customer and Invoices.

The Payment Details panel holds Standard Fields and Extended Fields. Table 4 groups the standard fields. The extended fields are fields your organization adds. An extended field's name can repeat a standard field name.

Outcomes of writing a remittance

Writing a remittance creates a payment in Workday. Table 5 covers the other cases, including the second destination and zero payments.

Table 5. Payment outcomes by case

Case

Result

The instance also writes to another destination

After the Workday write succeeds, AR Remittances makes one CSV file for the payment. The file goes to the second destination at the next upload interval set for the instance. A failed Workday write produces no file. The Documents tab does not show whether the file arrived there. The audit log records each upload, as Write to Another Destination explains. See Write to Another Destination.

The remittance is a zero payment record: a total of 0.00, with line amounts that add up to 0.00

What happens depends on whether Zero Payment Records is selected for the instance. See Zero payment records in Write to SoR.

A payment for the remittance already exists in Workday

AR Remittances does not update existing Workday payments. Each write creates a new payment.

The remittance file

Not attached to the Workday payment. Workday does not accept file attachments on customer payments. The file stays with the document in Auditoria.
