Mailbox Settings Overview

Overview

Use the Mailbox Settings form to connect Auditoria to an email mailbox that SmartFlow Skills use to read inbound messages and send replies. A mailbox connection is mandatory. Mailbox is available under the Mailbox connection type on the System Settings page.

Auditoria supports two mailbox providers: Gmail and Office 365. The configuration is similar for both providers. For provider-specific guidance, see the Gmail Settings article or the Office 365 Settings article. This article covers settings that are common to both providers: Enforce Mailbox Access Control and Email Settings.


Enforce Mailbox Access Control

Enforce Mailbox Access Control restricts which users can see and select this mailbox in the SmartCustomer and SmartVendor consoles. When the toggle is off, all users with the required role can access the mailbox. When the toggle is on, only users and teams that have been granted access to this mailbox can use it. Access is granted in User Management and Team Management.

Enable Controlled Mailbox Access

  1. On the Mailbox Settings form, click the Enforce Mailbox Access Control toggle to turn it on.
  2. In the Enable Controlled Mailbox Access confirmation dialog, review the message: Access to this connected mailbox will be restricted when controlled mailbox access is enabled.
  3. Click Continue to confirm, or click Cancel to keep the toggle off.

Disable Controlled Mailbox Access

  1. On the Mailbox Settings form, click the Enforce Mailbox Access Control toggle to turn it off.
  2. In the Disable Controlled Mailbox Access confirmation dialog, review the message: Access to this connected mailbox is unrestricted when controlled mailbox access is not enabled.
  3. Click Continue to confirm, or click Cancel to keep the toggle on.

Email Settings

Email Settings control how Auditoria handles email read state after processing, and whether the connection uses a shared mailbox. These settings apply to both Gmail and Office 365 mailboxes.

Setting Description
Emails are marked READ after processing by Auditoria SmartFlow Skills Marks emails as read in the mailbox after SmartFlow Skills process them. This is the default.
Emails are left UNREAD after processing by Auditoria SmartFlow Skills Leaves emails as unread in the mailbox after SmartFlow Skills process them.
Use shared mailbox Configures the connection to use a shared mailbox. When selected, enter the shared mailbox address.
Shared mailbox address Email address of the shared mailbox. Required when Use shared mailbox is selected.
