Who this is for. AP Helpdesk Analysts and Managers who answer vendors about bills and payments in more than one currency.
AP Helpdesk does not have its own list of currencies. It works with the bills and payments synchronized from your system of record, in the currencies recorded there.
Base and foreign amounts
The Bills and Payments lists in SmartVendor have a Currency switch with two settings:
- Base shows amounts in your company's base currency.
- Foreign shows amounts in the currency of the bill or payment itself, the transaction currency.
Both sets of amounts come from your system of record, including the exchange rate between them. Auditoria does not convert currencies.
On the Bills list, the Currency column shows the ISO 4217 code of the base amounts, for example USD, and you can filter the list by it. The column does not change when you switch the view, and it is not shown for every system of record.
Check the setting before you quote an amount. The switch changes every amount column on the list, so the same bill shows a different total in each view. Vendors usually expect the amount in the transaction currency, the Foreign view.
Credit memos
The Credit Memos list has the same Currency switch, but it changes only the Amount Due column. The list has no Currency column, so check the switch setting before you quote a credit memo amount.
Amounts in AI Agent replies
AI Agent replies quote amounts from the bill or payment the reply is about, in the transaction currency of the bill. The reply templates insert them through fields such as Invoice Amount, Amount Paid, Amount Unpaid, Total Discount Applied and Payment Amount, which you can see on the AI Agent Replies step of the SmartVendor configuration.
- Payment status replies write the amount followed by the currency code, for example 1500.00 EUR.
- Purchase order and remittance replies write the currency symbol, for example €1,500.00.
