Who this is for. Whoever sets AP Helpdesk up, which is a Super Admin.
AP Helpdesk is configured through the SmartVendor setup wizard. The wizard connects a system of record to a mailbox, decides what the agent is turned on for, and defines what it answers and how it words the answer.
The steps
With AP Helpdesk turned on, the wizard runs to five steps.
Table 1. The setup steps.
Step |
What you decide |
|---|---|
1. Connection |
Which system of record and which mailbox this instance works. |
2. Settings |
Whether AP Helpdesk is on, which vendor categories get their own replies, and how the agent behaves, including collaborative mode. |
3. Intents & Outcomes |
Which requests the agent acts on, and what it does for each. |
4. AI Agent Replies |
The wording of the replies it sends. |
5. Save and Run |
Commit the configuration and start the automation. |
When the wizard shows three steps
The stepper is not fixed. Until you select Turn on AP Helpdesk in step 2 and continue, the wizard shows only Connection, Settings, and Save and Run. Intents & Outcomes and AI Agent Replies appear once AP Helpdesk is turned on.
They stay hidden in two cases:
The instance is for AP Invoices only, with AP Helpdesk left off.
The agent runs end to end without the manual reply configuration, in which case the wizard goes from Settings straight to Save and Run.
Before you begin
The connections have to exist first. A system of record and a mailbox are configured for the tenant outside this wizard, and the wizard only lets you choose among what is already there. See Before You Start.
