Who this is for. Everyone. What appears in the rail depends on your role.
Access. Every rail entry is gated by a permission; you see only what your role carries. See the Roles and Access.
AP Helpdesk is organized around a left navigation rail. What appears in it depends on the permissions your role carries and on which features the tenant has enabled, so two people in the same tenant can see different rails.
Figure 1. The navigation rail. Pointing at an entry names it.
Move around the rail
Select an item in the rail to open that surface.
Where an item has several surfaces behind it, a flyout opens. Choose the entry you want from the flyout.
The rail stays visible as you work, so you can move between surfaces without returning to a home page.
The rail
An entry you cannot reach is absent rather than grayed out.
Table 1. Rail entries
Entry |
Opens |
|---|---|
Workcenter |
Switches between Workcenters. It sits above the rest of the rail and appears whenever your role reaches at least one Workcenter. AP Workcenter is the only one available. |
Homepage |
The operational overview of the accounts payable department: counters and the task queue. |
Agent Co-workers |
Creating and configuring Agent Co-workers. Labeled SmartFlow Skills Management in tenants where the Agent Co-worker experience is not enabled. |
SmartCustomer |
The accounts receivable side: SmartCustomer and AR Helpdesk. |
SmartGL |
The general ledger surface. |
SmartVendor |
SmartVendor, and Settings, which carries the AP Helpdesk, AP Invoices and AP Intelligence tabs. |
SmartResearch |
SmartResearch, Metrics Studio, and Usage. |
Administration |
Tenant-level settings: System Settings, User Management, Team Management, Automatic Task and Document Distribution, Tenant Management, and Audit Logs. |
Help |
The question mark at the foot of the rail. It carries no label and opens the Auditoria support portal in a new tab. |
What differs by role
Treat these as typical shapes rather than guarantees. The exact rail depends on the permissions your role actually carries.
Table 2. Typical rails
Role |
Typically sees |
|---|---|
Super Admin |
The full rail, including Administration and Audit Logs. |
AP Helpdesk Manager |
The AP work surfaces and the Agent Co-workers list. The agent configuration itself is Super Admin only. Administration is limited or absent. |
AP Helpdesk Analyst |
Homepage and the AP work surfaces. No agent configuration, no Administration. |
When an entry is missing
Work through these in order. They are listed by how quickly you can rule each one out.
Check your role. Open the account menu and read the role you are acting as. Most missing entries reflect a permission your role does not carry.
Check the tenant. Some surfaces depend on a feature being enabled for the tenant, not on your role. Availability in another tenant does not indicate availability in yours.
Check the naming. Agent Co-workers appears as SmartFlow Skills Management in tenants where the Agent Co-worker experience is not enabled. The surface is the same.
Then ask a Super Admin. They can confirm the permission in Administration > User Management in a few seconds.
Most missing rail entries resolve to a role permission or a tenant feature setting, which is why those two checks come first.
The bell in the header opens Notifications. It holds three groups: Alerts, System and Downloads. A filter switches between All and Unread, and a box above the list narrows it by subject.
