Mailbox Intelligence

Overview

The Mailbox Intelligence section provides detailed insights into inbound and outbound email activity for accounts payable operations. Use this section to monitor email volumes, identify top senders, and evaluate engagement with vendors and internal teams.

Mailbox Intelligence displays segmented data for received and sent emails, as well as tables ranking the top email addresses, domains, and vendors for the selected period. You can use the date range selector to filter data by 1 Day, 7 Days, 30 Days, 365 Days, or a custom range.

Mailbox Intelligence includes the following panels, each with its own interactive drill-down dialog:

Panel

Description

Emails Received

Bar chart of inbound emails, segmented by sender type and match status.

Emails Sent

Donut chart of outbound emails, segmented by sending method.

Top Senders

Tables ranking the top 10 email addresses, domains, and vendors by message volume.


Emails Received

The Emails Received panel displays a bar chart showing the number of inbound emails, segmented by sender type and color-coded by match status.

Actions available in the panel:

  • Hover over any bar to view a tooltip with counts and percentages by sender type and match status.

  • Click any legend label (such as Contact Match, Domain Match, or No Match) to show or hide that series in the chart.

  • Click any bar to open the interactive drill-down dialog for that segment.

  • Use the export icon to download the chart data in PDF, PNG, SVG, CSV, or XLSX format.

Table 1. Emails Received fields

Field

Description

Enrolled

Emails from known vendor contacts who are enrolled.

Unenrolled

Emails from recognized domains not fully enrolled as vendors.

Internal

Emails from addresses inside your organization.

External Cohort

Emails from external groups related to vendor domains.

Internal Cohort

Emails from internal business units or related domains.

Unknown

Emails from senders not set up in the client’s ERP system.

Contact Match

Sender email matches a contact exactly.

Domain Match

Sender domain matches a known sender or internal sender's domain.

No Match

No recognized vendor or domain match found.

Total Emails Received

Total number of inbound emails for the selected period.

Interactive Drill-Down for Emails Received

Clicking a bar in the Emails Received chart opens a dialog with a table listing all emails associated with the selected sender type and match status.

Column

Description

Sender Name

Display name of the sender.

Sender Address

Sender’s email address.

Message

Email subject or preview.

Match Type

How the sender was identified (Contact Match, Domain Match, No Match).

Date

Date and time the email was received.

Available actions in the drill-down dialog:

  • Go to Email: Click the envelope icon to open the specific email in your mailbox.

  • Export Data: Download the table as a CSV file (up to 10,000 rows per export).

  • Pagination: Navigate through multiple pages of results.

  • Rows per page: Adjust the number of rows displayed per page.


Emails Sent

The Emails Sent panel displays a donut chart showing outbound emails by sending method.

Actions available in the panel:

  • Hover over any segment to view a tooltip with counts and percentages.

  • Click any legend label (such as AP Helpdesk or Other Methods) to slice out that segment in the chart. This action does not hide, show, or highlight the segment; it simply slices it out for emphasis.

  • Click any segment to open the interactive drill-down dialog for that sending method.

  • Use the export icon to download the chart data in PDF, PNG, SVG, CSV, or XLSX format.

Emails Sent

Total number of outbound emails sent during the selected period.

AP Helpdesk

Emails sent via the AP Helpdesk mailbox.

Other Methods

Emails sent by other configured senders (such as ERP mailers or alternate mailboxes).

Interactive Drill-Down for Emails Sent

Clicking a segment in the Emails Sent chart opens a dialog with a table listing all sent emails for the selected sending method.

Column

Description

Recipient Email

Email address of the recipient.

Message

Email subject or preview.

Date

Date and time the email was sent.

Available actions in the drill-down dialog:

  • Go to Email: Click the envelope icon to open the specific sent email in your mailbox.

  • Export Data: Download the table as a CSV file (up to 10,000 rows per export).

  • Pagination: Navigate through multiple pages of results.

  • Rows per page: Adjust the number of rows displayed per page.


Top Senders

The Top Senders panel displays three separate tables, each ranking the top 10 senders for the selected period:

  • Top 10 by email addresses

  • Top 10 by email domains

  • Top 10 by vendors

Use the tabs at the top of the panel to switch between these views.


Top 10 by Email Addresses

This table lists the top 10 individual sender email addresses by message volume.

Actions available in the panel:

  • Hover over any row to view a tooltip with additional details (if available).

  • Click any row to open the interactive drill-down dialog for that sender.

  • Use the export icon above the table to download the list in CSV format.

Field

Description

Email Address

The sender's email address, ranked by message count.

Sender Type

Classification of the sender (Enrolled, Unenrolled, Unknown, etc.).

Count

Total number of emails received from this address.

Percent

Share of total emails received (as a percentage).

Vendor Match

Name of the matched vendor (if applicable).

Status

Enrollment status (Enrolled, Unenrolled, Unknown, etc.).

Top 10 by Email Domains

This table lists the top 10 sender domains by message volume.

  • Click any row to open the interactive drill-down dialog for that domain.

  • Use the export icon above the table to download the list in CSV format.

Email Domain

The sender's email domain, ranked by message count.

Count

Total number of emails received from this domain.

Percent

Share of total emails received (as a percentage).

Vendor Match

Name of the matched vendor (if applicable).

Status

Top 10 by Vendor

This table lists the top 10 vendors by message volume, based on matched vendor records.

  • Use the export icon above the table to download the list in CSV format.

Vendor Name

Name of the matched vendor.

Count

Total number of emails received from this vendor.

Percent

Share of total emails received (as a percentage).

Status
