1. New and Updated Features
Universal ERP Connector: AP Invoices support now generally available
This release makes AP Invoices support in the Universal ERP Connector generally available. It was released in Early Availability in Release 26.10.1. Auditoria writes each invoice or credit memo to a folder on your SFTP server or Amazon S3 bucket. It then reads your system's response to update the document. AP Invoices can run on its own or together with AP Helpdesk.
What's New
- Where to find it: Administration > System Settings > Add New Connection > ERP > Universal ERP. For an existing connection, select Update on its card.
- Connection type: SFTP or S3 Bucket. The type cannot be changed after the connection is created.
- Outbound Document Folder Path: The folder where Auditoria writes invoices and credit memos along with their respective attachments.
- Outbound Response Folder Path: The folder where the customer’s ERP writes the responses of the uploaded invoice/ credit memos for auditoria to read and display in the console.
- What Auditoria writes: Each invoice or credit memo gets its own folder, holding a CSV file with the invoice data and the attachments. When a document is submitted again, each copy is kept and the latest is used.
- Document status: An uploaded document stays in Active Data until a response arrives. A successful response moves it to Written to SoR. An error response keeps it in Active Data and shows the error.
- Response checks: The response folder is read every hour and on a manual sync.
- Data read from your system: Vendors and items, plus bills, purchase orders, payments, credit memos, contracts and item receipts with their line items.
- Dimensions: Payment Terms is the dimension supported by default. Each dimension comes in its own file, and dimensions are not required in every sync.
- Turning on AP Invoices: AP Invoices cannot be turned on for a connection until its outbound document folder is configured.
Note: The customer is responsible for loading the uploaded files from the folder into the ERP and for writing the response files to the response folder.
AP Invoices support in the Universal ERP Connector is now generally available. You no longer need to contact Auditoria support to have it enabled.
SmartResearch: AP statement reconciliation
This release lets SmartResearch reconcile a vendor statement against your Workday AP records. AP teams see which statement lines match, which need attention and why, without checking each line by hand.
What's New
- Where to find it: Select SmartResearch in the left sidebar, then SmartResearch. In a new chat, select Statement reconciliation from the list below the chat box, then select + > Upload Files and attach the vendor statement. The results, reports and history stay in the SmartResearch console.
- Statement check: SmartResearch first confirms the file is a vendor statement. For any other file, such as an invoice, purchase order or remittance advice, it shows Not a statement with the reason and stops.
- Supported files: PDF (native or scanned), PNG and JPG images, and Excel files (.xlsx and .xls).
- Statement details: SmartResearch reads the vendor name, statement date or period, currency, and opening and closing balance. For each line it reads the document number, date, type, amount and status.
- Checks on the file: If the lines do not add up to the closing balance, the run flags the gap. A corrupt, password-protected or unreadable file returns a clear error.
- Vendor matching: The vendor is matched to both the Auditoria vendor record and the Workday supplier, and both IDs are shown. When there is no match or more than one candidate, SmartResearch flags it and does not reconcile.
- Line matching: Each statement line is linked to its Workday invoice or credit memo and shows whether it is matched, mismatched or unmatched.
- Exceptions: Missing invoices, amount mismatches, duplicate invoices, missing credits, already-paid invoices and status mismatches. Each exception shows the statement line, the Workday record, the rule that found it and a recommended action.
- Vendor reply draft: SmartResearch drafts a reply that covers the matched totals and lists what the vendor needs to provide for each exception. You can edit and copy the draft. Nothing is sent to the vendor.
- Reconciliation report: Shows totals, the match rate and exception counts by type. Filter by exception type, and open a line and its Workday record.
- Statement history: The workspace lists each vendor's statements with their run history (date, user and outcome). You can open past runs.
- CSV export: Export the matched data to a CSV file that opens in Excel.
- Audit log: Each step is logged with its time, the sources used and the records read or created. The log is read-only, and a rerun keeps the earlier runs' entries.
Note: SmartResearch can currently handle up to 1,000 lines per statement, with a maximum file size of 50 MB.
AP statement reconciliation is generally available to all SmartResearch customers.
SmartResearch: Answers that match SmartVendor and SmartCustomer
This release makes SmartResearch answer questions about your current work from live SmartVendor and SmartCustomer data. The numbers in an answer now match what the app shows, so you do not need to check them again.
What's New
- Where to find it: Select SmartResearch in the left sidebar, then SmartResearch, and ask a question in a new chat.
- Sample questions: The sample questions shown in a new chat now match what your SmartResearch instance is linked to, AP or AR.
- Current work from the live app: Questions about pending documents, review queues, records, vendor enrollment and dashboard tiles are answered from SmartVendor (AP) and SmartCustomer (AR).
- Pending documents: Dismissed documents and documents already written to your ERP no longer count as pending.
- ERP history: Questions about history, such as spend with a vendor by quarter, are still answered from your synced ERP data.
- When sources disagree: The answer gives both figures, leads with the live-app figure and does not guess at a cause.
- Dates and ranges: A record list states that its total covers all dates. A dashboard result names the exact date range used.
- Balances and currency: Customer balances are shown per entity with their currency. Results that mix currencies show a warning.
- Answer tables: Tables have titles and column names, and answers show no internal IDs.
- Sources: Each answer lists one source per product. An answer that covers both products names both apps.
- Steps and saved answers: The steps SmartResearch took appear in the chat. The answer stays in place after it finishes and after a page refresh.
Note: Answers come from the live app only when the SmartResearch instance is linked to a SmartVendor or SmartCustomer app. Instances linked only to an ERP answer from your synced ERP data, as before.
These improvements are generally available to all SmartResearch customers.
