AR Remittance Mapping Messages

Who this is for. SmartCustomer users with the SuperAdmin role.

Availability. The AR Mapping tab appears in SmartCustomer when AR Mapping is enabled for your organization.

Overview

The mapping editor tells you why an action is unavailable. The reason appears beside the button, or on the step itself. This article lists the messages in the editor and on the mapping list. It groups them by where they appear, with what to do about each one.

Some messages name a customer, a mapping, or a file. Others give a count. They show your own names and counts. The examples here use sample names such as Northwind Traders.

Messages beside Next

These messages appear beside Next when the current step is not complete.

Table 1. Messages beside Next

Message What it means and what to do
Choose the customer to continue. Select a customer in Customer.
Name the mapping to continue. Type a name in Mapping name.
Upload at least one sample file to continue. Upload a remittance file from the customer.
Resolve the files that don’t match the customer — use or replace each one. For each flagged file, select Use anyway or Replace.
Confirm the table boundaries to continue. On Confirm, review the boundaries and select Confirm boundaries. If Confirm boundaries is not shown, select Structure.
Map at least one field to continue. No field is mapped yet. While the Rules tab reads Rules …, the first pass is still running, so wait for the proposed mappings. Otherwise, map at least one field.

Messages on Customer and samples

These messages appear on the first step, under Customer or beside the sample files.

Table 2. Messages on Customer and samples

Message What it means and what to do
“Northwind Traders: remittance mapping” is live for this customer — save this as a draft, or deactivate that one to activate this The customer already has a live mapping. You can build and save this one as a draft. To activate it, first take the live mapping out of service.
Only 5 of the 6 files were taken — a mapping is built from at most 5 samples. You chose more than five files, and the first five were added. To use another file, remove a sample and upload the file.
A mapping is built from at most 5 samples — remove one to add another. The mapping already has five samples. Remove one, then upload the new file.
This file doesn’t appear to be from “Northwind Traders”, or for several files, 2 files don’t appear to be from “Tailspin Components” A file seems to belong to another customer, based on its header. The warning names each file and the customer it appears to come from. Several files can be flagged at once, for example after you change the customer. Select Replace to swap a file. If you are sure it is from this customer, select Use anyway.

The warning about another customer's file also explains the risk. The file's fields can be read incorrectly, and that customer's payments can be matched to the customer you chose.

Messages on Email samples and Master fields

These messages appear on steps 2 and 3 of the editor.

Table 3. Messages on Email samples and Master fields

Message What it means and what to do
No email samples. Add one when a value you need — a payment reference, a total, an invoice number — is stated in the email rather than the file. The mapping has no email samples. The step is optional. Add a sample when a value you need is stated in the email rather than the file.
1 master field is set to come from the email — add a sample for it to be learnt from. The mapping has no email sample left, but a master field is still set to Email. The field keeps that source and its mapping. Add an email sample.
No fields match your search. No master field matches your search. Change or clear the search.

Messages on Confirm

These messages appear above the table on the Confirm step.

Table 4. Messages on Confirm

Message What it means and what to do
2 rows with values aren't part of any table (highlighted below). Mark them into a table, or they'll be skipped. Some rows hold values but sit outside every table, such as a subtotal or a total. Leave them if they are not data rows. Otherwise, point to a row under the table and select Last. The warning then counts one row fewer, for example 1 row with values isn't part of any table (highlighted below). Mark it into a table, or it'll be skipped.
These files are not the same format No two samples share their columns, so one mapping cannot read them all. Build a separate mapping for each layout, and remove the other samples from this one.
A saved mapping already covers this format A sample matches a mapping you saved. Select why? to see the evidence. Select Dismiss to keep building this mapping, or Use this mapping to edit the saved one. Your file then takes the place of its samples. If the saved mapping is live, saving it with Save draft makes it a draft.

Messages on Field mapping

These messages appear on a field, in its panel or preview, and on the Rules tab.

Column "Invoice Date" not found in this table, with your own column name The field reads a column that this table does not have. In a test result, the field name comes first, for example Invoice Date: Column "Invoice Date" not found in this table. Causes include these:
  • You tested a file in another layout. Check that you tested the right file.
  • A sheet holds tables with different columns. If the other table holds rows you do not need, remove it. On Confirm, select Unlock and remove the table. Then confirm again. See Remove a table after you confirm in Confirm the table boundaries.
  • A line item field was set to another sheet, and the mapping was saved and reopened. See Known limitations on this page.
Total Amount: no numeric values to aggregate, with your own field name The rule behind the field found no numeric values in that file. Check the column that the rule reads.
Rule is disabled The field uses a rule that is switched off. Switch the rule back on in Rules, or choose another source. See Add and manage rules.
Rule not found The field uses a rule that no longer exists, for example one you deleted. The field shows Error. Bind it to another rule, or choose another source. See Add and manage rules.

Rule created & bound — followed by what the rule does The message says that Predict rule with AI made a rule and bound the field to it. Check the bar under the field and the preview. If the bar reads Rule · missing, no rule was added, so bind the field to a rule yourself. See Add and manage rules.
Rule · missing, in the bar under a field The field is bound to a rule that the Rules tab does not list. Predict rule with AI can leave a field this way. Bind the field to a rule yourself. See Add and manage rules.

Known limitations

  • No message confirms that Save draft, Activate, or Auto-map finished. Deleting a mapping shows no message either. Check the status in the list, or the fields on Field mapping.
  • Only one mapping per customer can be live at a time.
  • A line item field reads the same column in every table of a sheet. If one table lacks that column, the field shows Error for it, and Activate stays unavailable.
  • A file named after another customer is not flagged when its header block names this customer. The text on Customer and samples says each file is also checked by its name.
  • Only Remittance mapping warns about unsaved changes. Leaving through the main navigation, or closing the browser tab, loses them without a warning.
  • Changing a rule, switching it off, or deleting it lasts only if you save the mapping. If a rule change is your only change, leaving gives no warning. A rule you add is kept at once.
  • From sheet reads the other sheet's rows in order. Its first row goes to the first line, and its second row to the second line. Lines past its last row read nothing. It does not match rows to lines by any value, and the test still reports No field errors.
  • A mapping built from a workbook with several sheets loses From sheet after you save and reopen it. If one line item field was set to another sheet, the others then read that sheet too. Some of them show errors, such as Column "Invoice Date" not found in this table.
  • Predict rule with AI can choose the wrong total. On the Northwind Traders sample, it summed the invoice amounts instead of the amounts paid. The field then read Rule · missing, and no new rule appeared on Rules.
  • Improve with AI can change what a formula rule calculates. Read the rule again before you save it. On the Northwind Traders sample, it turned a sum of Amount Paid into Sum all Invoice Amount values in table 1.
  • After a test of another file alone, Make this mapping live? reads Tested against the uploaded samples. Run the test on the samples before you activate.
  • A mapping reads spreadsheets: XLSX, XLS, and CSV files. Remittances that arrive as PDF files are processed separately.
  • You cannot add or remove master fields in a mapping.
