Add Email Samples

Overview

Email samples is the second step of the mapping editor. The editor shows it as Step 2 of 6 · Email samples. This step is optional.

Some customers state payment details in the remittance email rather than in the attached file. On this step, you paste a few of their emails. For each master field set to come from the email, the mapping learns where its value sits. It looks in the subject or the body. It then reads the value the same way from every future email from that customer.

When this step is done, go to Choose the master fields.

Cases that need email samples

Add email samples when the email states a value that the file does not have. The Northwind Traders email is one example. It states the payment reference, the payment date, and the total paid. Its remittance file has the cheque number, but no payment reference.

If everything the mapping needs is in the file, select Next to skip this step. You can come back later. On Master fields, Email is offered as a source only after you add an email sample here.

Until you add one, the step reads No email samples. Add one when a value you need — a payment reference, a total, an invoice number — is stated in the email rather than the file.

Add an email sample

  1. On Email samples, select Add email sample.
  2. Paste the sender into Sender. This field is optional.
  3. Paste the subject into Subject.
  4. Paste the email text into Body.
  5. Select Add sample. It becomes available after you fill in Subject and Body.
  6. Repeat steps 1 to 5 for each email.
  7. Select Next.

Each sample appears under Added samples, which shows how many you have added. A sample shows its subject, its sender, and the start of its body.

To change a sample, select its edit icon. Edit email sample opens, and Save keeps your changes. To delete a sample, select its remove icon. The sample is removed at once, with no confirmation.

Figure 1. One email sample under Added samples

If you remove the last email sample, the step shows No email samples. again. A master field set to Email keeps that source and its mapping on Field mapping. The step then also reads, for example, 1 master field is set to come from the email — add a sample for it to be learnt from.

Example: a payment reference from the email

This example follows one value from the email to the test result. The Northwind Traders email reads, in part, Payment reference: EFT 0048213.

  1. On Email samples, add the email.
  2. On Master fields, select Payment Number and set Source to Email. The field shows an Email badge.
  3. On Field mapping, open Payment Number. Its panel lists the values found in the email samples, such as Payment reference EFT: 0048213.
  4. Select that value. The field then reads Email body · after “Payment reference: EFT”. LIVE PREVIEW shows 0048213 for the email.
  5. On Test and validate, review From the email. It reads 1 of 1 field found in every sample, with 0048213 for Payment Number.

In this example, Payment Number stayed Not mapped until the value was selected. Neither the first pass nor Auto-map mapped it. Check each field that comes from the email on Field mapping.

For the field panel and the email sources, see Fields read from the email in Field sources and rules.
