Executive Summary

Release 26.10.1 delivers updates across AP Invoices, AR Remittances, SmartResearch and the Universal ERP Connector. AP Workcenter becomes the starting point for organizations that use it, and document line items gain column controls. AR Remittances gains business rules, predictive coding and new settings. It also adds remittance mapping and a Document Intelligence dashboard. The Universal ERP Connector now supports AP Invoices.

  • AP Invoices – AP Workcenter Home as the landing page: When AP Workcenter is enabled, users open on AP Workcenter Home.
  • AP Invoices – Email thread on the document page: The AP Workcenter document page shows the email that brought each invoice in.
  • AP Invoices and AR Remittances – Line-item column controls: Users choose, search and pin the line-item columns on a document.
  • AR Remittances – Business rules, predictive coding, hints and settings: Rules that set field values, predicted values, a Contains customer hint, Write to SoR by customer, and a date format setting.
  • AR Remittances – Remittance mapping: Super Admins map how each customer lays out its remittance spreadsheet.
  • AR Remittances – Document Intelligence and Top Customers: The SmartCustomer Dashboard reports on remittances written, dismissed and edited, and on the customers with the most documents.
  • SmartResearch – Scope locked after creation: An instance's scope is set once, when the instance is created.
  • Universal ERP Connector – AP Invoices support: AP Invoices writes invoices to an SFTP server or S3 bucket and reads the response back.

1. New and Updated Features

AP Invoices: AP Workcenter Home as the default landing page

This release makes AP Workcenter Home the page users open on in organizations with AP Workcenter enabled. AP teams start on their task list instead of navigating to the Workcenter from another page.

What's New

  • Landing page: Opening the app goes straight to AP Workcenter Home, with the task list ready to work.
  • All users: The change applies to every user in an organization with AP Workcenter enabled.
  • Organizations without AP Workcenter: Users keep their current landing page.

AP Workcenter Home as the default landing page is generally available. AP Workcenter is currently in Early Availability, so it is visible only to organizations that have agent co-workers configured. The same setting in your SmartFlow configuration is generally available. To have agent co-workers enabled, contact your Customer Success Manager or Auditoria support at support@auditoria.ai.

AP Invoices: Email thread on the AP Workcenter document page

This release adds the email that brought an invoice in to the AP Workcenter document page. It appears below the line items and attachments. AP analysts can read the vendor's message and check the linked task without leaving the invoice.

What's New

  • Where to find it: On AP Workcenter Home, select an invoice task, then scroll below Line Items and Attachments.
  • Email details: Each email shows the sender, the recipients, the date and time, and the message.
  • Vendor Inbox: A Vendor Inbox link sits at the top of the thread.
  • Language: Each email shows its detected language. A switch moves between the original text and the translation, where one is available.
  • Linked task: The thread shows the task created from the email, with its task ID and assignee.
  • Documents from attachments: The email's attachments are listed with a count of the documents created from them. Create a Document is available for each attachment that has not become a document.

The email thread on the document page is generally available. AP Workcenter is currently in Early Availability, so it is visible only to organizations that have agent co-workers configured. AP Invoices and AR Remittances: Line-item column controls

This release adds an Edit columns panel to document line items. Invoices and remittances with many columns become easier to review. Each user chooses which line-item columns appear and can pin columns to keep them in view while scrolling sideways.

What's New

  • Where to find it: Open a document and select the Edit Columns icon beside Line Items. It is on AP Invoices documents in AP Workcenter and on AR Remittances documents.
  • Edit columns panel: The panel lists every line-item column.
  • Search columns: Find a column by name in a long list.
  • Visible columns: Select or clear the checkbox beside a column to show or hide it.
  • Pinned columns: Drag a column into Pinned, or select its pin icon, so it stays in place when you scroll.
  • Apply, Cancel or Restore default: Apply saves the layout, Cancel closes the panel without changes, and Restore default returns to the standard layout.
  • Saved per user: Each user's layout is kept for that user across browsers and computers.

AR Remittances: Business rules, predictive coding, hints and settings

This release adds several controls over how AR Remittances fills and writes payment records. Super Admins can create business rules that set field values, and predictive coding fills some fields from earlier records. Customer hints gain a Contains condition. One new setting decides which customers' payments AR Remittances writes to the system of record without review. Another sets how dates appear.

What's New

1. Business rules

  • Where to find it: SmartCustomer > Settings > Business Rules > + Add Rule.
  • Business Rules list: Shows each rule with its description, type, target fields, who last updated it and when, and its order of execution. Filter the list by Enabled, Disabled or All.
  • IF (Conditions): Choose a field, a comparison and a value. Select Apply to all documents to run the rule on every document. Add conditions with + Add condition.
  • THEN (Actions): Choose a field and Set to a value. Add actions with + Add action.
  • ELSE: Add an action for documents that do not meet the conditions with + Add else.
  • Order Of Execution: Sets the order in which rules run.
  • Header and line fields: Rules can target payment record header fields and line item fields.

2. Predictive coding

  • Where to find it: Open a document in SmartCustomer > Documents and look at its payment record.
  • Predicted values: Payment record fields such as Create Deposit can be filled by predictive coding, based on the values used on earlier records.
  • Indicator: An information icon appears beside each predicted value. Hover over it to see the basis for the prediction, such as a value used on all historical records.
  • Document history: View Document History lists Predictive Coding under Determined By for each predicted field.
  • Invoice currency: Invoice currency is not predicted.

3. Contains condition for customer hints

  • Where to find it: Open a document > Match with a Customer > Update Customer Hints on the customer's row.
  • Contains hint: The Update Customer Hints dialog now includes Contains, where you enter text that a customer's remittances always carry.
  • All conditions must match: When a customer has several hints, a remittance is matched to that customer only when every hint matches.

4. Write to SoR configurable at customer level

  • Where to find it: Edit the AR Remittances instance in SmartCustomer > Settings > Turn on AR Remittances > Write to SoR.
  • New option: Write to SoR now offers Configurable at Customer Level beside Collaborative Mode and Autonomous. With this option, every document needs review by default, and users can enroll specific customers into autonomous mode.
  • Customers tab: With this option selected, the Customers list shows a Write to SoR column. It reads Autonomous for customers enrolled in autonomous mode.
  • Enrolling a customer: Open the customer from Customers, turn on Autonomous beside Write to SOR, then select Save.

5. Date format

  • Where to find it: Edit the AR Remittances instance in SmartCustomer > Settings > Turn on AR Remittances > Date Format.
  • Date Format setting: Choose MM/DD/YYYY (for example 01/13/2025), DD/MM/YYYY (13/01/2025) or DD-MMM-YYYY (13-Jan-2025).
  • Where dates follow the setting: Document lists and document pages, the customer, invoice, payment, credit memo, dispute and internal document screens, the Business Rules list and AR Mapping.

6. System hints

  • Learns from confirmed customers: When a remittance is written to the system of record, AR Remittances remembers which customer the extracted customer name belongs to, including any correction a user made.
  • Matches later remittances: The next remittance that carries the same extracted name is matched to that confirmed customer, so users correct the same customer less often.
  • Unknown customers: A remittance that arrived as an unknown customer is also remembered once a user assigns the customer and writes it to the system of record.
  • Only confirmed answers: System hints learn only from customers confirmed on write to the system of record, never from AR Remittances' own guesses.
  • Same as AP Invoices: System hints work the same way as in AP Invoices. They run in the background, with no screen or setting to configure.

AR Remittances: Remittance mapping

This release introduces remittance mapping for AR Remittances. Customers send remittance advice in their own spreadsheet layouts, and a mapping records how one customer's file is laid out. Super Admins build each mapping from real sample files, so AR Remittances can read that customer's remittances.

What's New

  • Where to find it: SmartCustomer > AR Mapping.
  • AR Mapping tab: The Remittance mapping list shows each mapping's name, customer, status (Draft or Active) and when it was last updated. Filter by Customer or Status, or use My filters.
  • New mapping: Opens an editor with six steps: Customer and samples, Email samples, Master fields, Confirm, Field mapping and Test and validate.
  • Customer and samples: Choose the customer and upload one or more of their remittance files. Each file is checked against the customer by its name and the header block inside it. The mapping name is generated from the customer.
  • Supported files: Samples can be XLSX, XLS or CSV files.
  • Draft or live: Save draft keeps the mapping without using it. Activate makes it live for that customer.
  • Import: Adds mappings from a file.

AR Remittances: Document Intelligence and Top Customers on the SmartCustomer Dashboard

This release adds two AR Remittances sections at the top of the SmartCustomer Dashboard: Document Intelligence and Top Customers. Document Intelligence reports remittances written to the system of record, remittances dismissed and why, and the fields users edit most. Top Customers shows the customers with the most documents.

What's New

  • Where to find it: SmartCustomer > Dashboard, the first two sections.
  • Documents Written to SOR: Counts documents written, written autonomously, written with no edits and classified as payment, and zero payment records. It also shows the share of payments correctly identified, and overall, standard field, header and line accuracy.
  • Documents Dismissed: Counts dismissed documents, split into duplicates dismissed automatically, documents classified as Other and dismissed by a user, payments changed to Other by a user, and payments dismissed by a user.
  • Top 10 Fields with the Most Edits: Lists the fields users edit most.
  • Top Customers: A second section with two cards, Top 10 Customers with Documents in Active Data and Top 10 Customers by Volume.
  • Time period: Each section shows 1 Day or Current Month to Date.
  • Card actions: Each card can be refreshed and exported. Documents Written to SOR and Documents Dismissed also switch to a chart view.
  • Last updated: Each card shows when its figures were last updated.

SmartResearch: Scope locked after instance creation

This release locks a SmartResearch instance's scope once you create the instance. The scope decides which data the instance draws on, and that data is pulled at creation. The scope an instance shows now always matches the data it answers from.

What's New

  • Where to find it: The Connections step when you create or edit a SmartResearch instance.
  • Creating an instance: Choose any SmartResearch Scope as before. A note under it reads Scope can't be changed after the instance is created.
  • Editing an instance: SmartResearch Scope shows its current value and cannot be changed. The note reads Scope can't be changed after an instance is created. Create a new SmartResearch instance to use a different scope.
  • Using a different scope: Create a new SmartResearch instance with the scope you need.

Universal ERP Connector: AP Invoices support

This release adds AP Invoices support to the Universal ERP Connector. Auditoria writes each invoice or credit memo to a folder on your SFTP server or Amazon S3 bucket. It then reads your system's response to update the document. AP Invoices can run on its own or together with AP Helpdesk.

What's New

  • Where to find it: Administration > System Settings > Add New Connection > ERP > Universal ERP. For an existing connection, select Update on its card.
  • Connection type: SFTP or S3 Bucket. The type cannot be changed after the connection is created.
  • Outbound Document Folder Path: The folder where Auditoria writes invoices and credit memos along with their respective attachments.
  • Outbound Response Folder Path: The folder where the customer’s ERP writes the responses of the uploaded invoice/ credit memos for auditoria to read and display in the console.
  • What Auditoria writes: Each invoice or credit memo gets its own folder, holding a CSV file with the invoice data and the attachments. When a document is submitted again, each copy is kept and the latest is used.
  • Document status: An uploaded document stays in Active Data until a response arrives. A successful response moves it to Written to SoR. An error response keeps it in Active Data and shows the error.
  • Response checks: The response folder is read every hour and on a manual sync.
  • Data read from your system: Vendors and items, plus bills, purchase orders, payments, credit memos, contracts and item receipts with their line items.
  • Dimensions: Payment Terms is the dimension supported by default. Each dimension comes in its own file, and dimensions are not required in every sync.
  • Turning on AP Invoices: AP Invoices cannot be turned on for a connection until its outbound document folder is configured.

Note: The customer is responsible for loading the uploaded files from the folder into the ERP and for writing the response files to the response folder.
