Who this is for. SuperAdmins. Access. Requires the
TEAM_MANAGEMENTpermission and the feature enabled for the tenant. See the Roles and Access Reference.
Document distribution is turned on for each AI Agent, not for the tenant as a whole, so one agent can use it while another does not. The setting also decides whether this area appears in the Administration menu and what it is called.
These steps are for the SmartFlow Skills Management screens. Before you start, check that the home screen is headed SmartFlow Skills Management.
Turn the setting on
Open SmartFlow Skills Management and select the skill, for example SmartVendor, to list its running instances.
Select the edit icon on the instance you want to change. The instance opens on the Connection tab.
Select Continue to reach Settings.
Scroll down the Settings page to Set up distribution rules for incoming documents. It sits in the right-hand column, after Multiple Bills in One Attachment.
Set it to Required.
Select Save and Run.
New skills start at Not Required. A skill that was already using document distribution is set to Required when the setting arrives, so nothing stops working.

Table 1. What the setting does
Setting |
What happens |
|---|---|
Required |
Document distribution runs against the rules you have created, and an invoice is assigned when it matches one. A SuperAdmin has to create the rules first. |
Not Required |
Document distribution does not run, no assignee is set, and the Assignee field is hidden. You cannot create document rules while it is set this way. Policies and rules you already have are kept, not deleted, so turning it back on restores them. |
What the area is called
The name follows the setting and what the agent runs. All three states open the same policies.
Table 2. The three states
Setting and agent |
Name in the Administration menu |
What the policy list holds |
|---|---|---|
Required |
Automatic Task and Document Distribution |
A Distributed Documents column, and Policy Rules as coloured pills counting document rules and task rules separately. |
Not Required, and the agent also runs AP Helpdesk |
Automatic Task Distribution |
Task rules only. Policy Rules is a plain count and there is no Distributed Documents column. Task distribution is unaffected. |
Not Required, and the agent runs AP Invoices on its own |
The option does not appear. |
Nothing to show. |
An agent that gains document distribution keeps every task rule it already had, and those rules keep working unchanged.
