Who this is for. Anyone with SmartResearch access, for their own account. Access. Included for everyone at an organization whose subscription covers SmartResearch, whatever their role. No permission needs to be assigned. User Preferences is available where Auditoria has enabled it for your tenant. Where it is not enabled, the sidebar entry is absent and the page cannot be reached by direct URL. See the Roles and Access Reference.
Your personal defaults. The page states that they apply to all conversations. They affect both what an answer covers and how it is written, and they apply only to your account.
Open User Preferences
At the foot of the sidebar, select User Preferences.
The page opens on the Profile tab. To return to the workspace, select Back.
Figure 1. User Preferences on the Profile tab, with no values set.
Set your profile
The tab is introduced with: Tell SmartResearch about your role and how you’d like responses tailored. These preferences apply to all conversations.
-
For Your role at work, enter or select your work function.
The prompt reads What best describes your work? with the guidance Select the Accounting work function that most closely matches your day-to-day responsibilities. The field accepts free text as well as the listed functions. The placeholder shows e.g. AP Analyst, Senior Accountant… Listed functions are Accounts Payable, Accounts Receivable, General Ledger, Procurement, Treasury, Financial Reporting, Tax, FP&A and Other.
-
For Your preferred date format, select a format.
Dates in responses will use it. The options are MM/DD/YYYY (ex: 01/13/2025), DD/MM/YYYY (ex: 13/01/2025) and DD-MMM-YYYY (ex: 13-Jan-2025).
-
For Your preferred number format, select a format.
Numeric values in SmartResearch will use it. The options are Comma (ex: 1,234,567.89) and Period (ex: 1.234.567,89).
-
Under What should SmartResearch consider in responses per your preferences?, enter any standing instructions.
The guidance states this applies to all conversations and is layered on top of Auditoria’s response guidelines. The placeholder shows the level of detail that works: Prefer concise bullet-point answers, always cite invoice numbers, flag any exceptions upfront…
An unset field shows its own placeholder: Select a work function…, Select a date format…, Select a numeric format…, so you can tell at a glance what has not been configured.
Set your business context
Select the Business Context tab.
The tab is introduced with: Defaults used to scope time-ambiguous queries. Every response that relied on a preference will state the applied context.

Table 1. Business Context settings
Setting |
On-screen guidance |
Default |
|---|---|---|
Entity |
Select one or more entities from your assigned ERPs. Queries are auto-scoped to these entities unless you specify otherwise in the conversation. |
All entities |
Time range |
Used for time-ambiguous queries, for example “what’s our DPO?”. The window used will be stated in the response. |
Last 12 months |
Fiscal year start month |
Drives “this FY” and quarter math. Q1 = months 1–3 from the fiscal year start. Inherits the tenant setting if configured. |
January |
Time range offers Last 7 days, Last 30 days, Last 90 days, Last quarter, Last 12 months, This fiscal year, Year to date and All time. Entity lists the entities of the ERPs assigned to you, with All entities at the top.
To discard your changes and return to the supplied values, select Reset to defaults.
You do not have to guess which default applied. Every response that relied on a preference states the applied context, and an answer repeats the window it used. See Read an Answer.
Business Context changes the answer, not only its presentation. The same question asked with a 30-day default and a 12-month default returns different numbers, and neither is wrong. Before comparing a figure with a colleague, compare preferences.
