Who this is for. Super Admins, who can add, change and remove these settings. AP Helpdesk Managers, Specialists and Analysts cannot open AP Intelligence. Requires AP Intelligence to be enabled for your tenant. See the Roles and Access.
An AP Helpdesk agent can do three things without asking anyone: send a reply, forward a message, and transfer a document into your system of record. This card is where you decide which of those three it is allowed to do.
That makes it the most consequential screen in AP Intelligence. Everything else here shapes how the agent decides; these three switches decide whether its decisions reach a vendor at all.
The card also sets where submitted documents go by default, which matters because a document the agent transfers to the wrong destination is harder to notice than a reply it should not have sent.
Open AI Pipeline Settings
Open AP Intelligence and select Settings in the left rail.
Select AI Pipeline Settings, the first of the five cards.
The card expands in place. The other four stay collapsed beneath it, so you are always on the same page rather than navigating away.
Figure 1. AI Pipeline Settings, expanded, with the two cards below it still collapsed.
The three automation switches
Each switch permits one kind of autonomous action. Off does not stop the work: the mail still arrives, is still classified, and the agent still prepares what it would have done. It waits for a person.
Table 1. The automation switches.
Switch |
On means |
Off means |
|---|---|---|
Auto-reply (Collaborative Automation) |
The agent can send a high-confidence drafted reply for a matching rule without human review. |
Replies are still drafted, and wait for someone to release them. |
Auto-forward |
Forward rules run on their own, sending the message to the address the rule names, or to the tenant-configured address. |
Forwarding waits for review. |
Auto-submission |
Document submission rules transfer invoice and credit memo attachments to the configured destination, whether that is an address or your ERP. |
The documents wait for someone to transfer them. |
The three are independent, so you can leave replies under review while documents continue to submit, or the reverse. There is no single master switch on this card: to stop everything, turn off all three.
Turning a switch off is the control to reach for when something is going wrong and you need it to stop now. Nothing is lost by doing so.
Submission routing
Below the switches, a table sets where submitted documents go when no rulebook entry says otherwise. The rulebook can still pin a different destination for a particular message; this is the tenant-wide default behind it.
Table 2. The routing table.
Column |
What it holds |
|---|---|
Submission Kind |
The document type. Two rows: Invoice Submission and Credit Memo Submission. |
Method |
How that document type is delivered, chosen from a list. Forward via Email sends it to an address. Transfer via API hands it to your ERP integration. |
Forward To |
The destination. With Forward via Email this is an address you type. With Transfer via API there is nothing to fill in, and the column reads Routed automatically via the configured ERP integration. |
The two rows are set independently, so invoices can go to an address while credit memos go straight to the ERP.
Set the routing before you turn Auto-submission on. With the switch on and the wrong destination, documents leave without error as far as the agent is concerned.
Save your changes
Save sits at the foot of the card and stays grayed until you change something. Nothing on this card takes effect until you select it.
If you leave the card, or the page, without saving, the switches revert to what they were.
