Find the Record Behind a Task

Who this is for. AP Helpdesk Analysts. See the Roles and Access.

The record pages under SmartVendor hold what the system knows about a vendor, an invoice, a purchase order, or a payment.

You use them to answer one question: why did this particular thing stop?

What a lookup failure usually means

When a reply says a value is not on file, or a match fails, the cause is normally one of two things:

  • The record is not there yet. A payment not yet synchronized, an invoice not yet posted.

  • The reference did not match. The vendor quoted a number the system could not resolve.

The first is a question about the connection sync, which runs every four hours by default, so a record created in the system of record a short time ago may not have arrived yet. A Super Admin can enroll Purchase Orders and Supplier Contracts in the hourly refresh on the connection. The second is genuinely yours.

Your data scope bounds what you see

A colleague with a different scope may see records you do not, and both views are correct. If a record you need is genuinely missing rather than out of scope, that is a question for your system administrator.
