Executive Summary

Release 26.5.1 delivers usability and accuracy improvements across the Accounts Payable (AP) and Accounts Receivable (AR) modules — AP Invoices, AP Helpdesk, AP Accruals, AR Collections — and SmartResearch. The release gives Procure-to-Pay (P2P) operators finer control over document reprocessing, document assignment, and the Write to System of Record (SoR) workflow, while extending Helpdesk visibility into how agent-drafted replies are being used. Workday-specific behavior is strengthened through validation-error handling inside Auditoria and a more complete posting-rule evaluation for AP Accruals. The release also includes one important announcement regarding the embedded AR Helpdesk functionality in AR Collections.

Sunsetting: Embedded AR Helpdesk with AR Collections

Effective with this release, Auditoria is sunsetting support for embedded AR Helpdesk functionality in AR Collections.

  • AP Invoices – Cancel Reprocessing and automatic timeout: P2P operators can now cancel an in-progress document reprocessing, and the system automatically times out stuck reprocessing jobs after two hours.

  • AP Accruals – Full Workday posting rule evaluation: Ledger account resolution now walks the spend category hierarchy and evaluates additional posting-rule dimensions, improving accuracy on accrual journal entry lines.
  • AR Collections – Exact-day dunning notification tables: The 30/60/90-day dunning notification email tables include only invoices that are exactly N days past due.
  • SmartResearch – Platform updates: The landing page rotates welcome greetings, and the SmartResearch table displays an updated table component.

1. New and Updated Features

AP Invoices: Cancel Reprocessing and Automatic Reprocessing Timeout

This release adds the ability to cancel a document reprocessing operation while it is in progress, and introduces an automatic timeout for reprocessing jobs that do not complete within two hours. Previously, reprocessing ran to completion once triggered, and documents could remain in the reprocessing state for extended periods. P2P operators now have direct control over reprocessing, and stuck documents return to a workable state automatically.

What's New

  • Cancel Reprocessing button is added to the reprocessing overlay, displayed below the existing "Return to Active Data" button. The button remains available during the early stage of reprocessing, while the operation can be safely interrupted; after that point, the button is hidden.
  • Rollback on cancel restores the document to its last known state before reprocessing was triggered, including field values, classification, and status.
  • "Reprocessing Cancelled" status is applied to the document after a user-initiated cancel, is shown in list and details views, and is available as a filter.
  • Automatic timeout cancels any reprocessing job that has not completed within two hours, restores the document to its pre-reprocess state, and sets the status to "Reprocessing Timeout", also available as a filter.
  • Re-trigger of reprocessing is supported on any document that was cancelled or timed out.

AP Invoices: Bulk Reassignment of Assigned Documents

This release extends bulk assignment to cover reassignment scenarios, with role-based controls. P2P Managers and Superadmins can bulk-reassign documents from one user (or multiple users) to another user or to unassigned. P2P Agents can bulk-unassign documents that are assigned to themselves. Bulk assignment of unassigned documents to a specific user continues to work as before. The change reduces the manual effort required to redistribute workload across a team.

What's New

  • Reassign documents action appears on the bulk action bar when one or more assigned documents are selected.
  • Role-based scope: P2P Manager and Superadmin can reassign documents assigned to any user, to any other user, or set the assignee to None. P2P Agent can only unassign documents that are assigned to themselves.
  • Mixed selection support lets users apply a chosen assignee to a selection that contains both assigned and unassigned documents.
  • Individual document menu behavior continues to show Write to SoR and Dismiss only for documents assigned to the current user; Reassign appears only through the bulk action bar.
  • Assignee dropdown lists active users eligible per role-based access control and includes a None option to unassign.

Notes

  • A P2P Agent's bulk unassign action applies only to documents assigned to themselves; if a selection includes documents assigned to other users, the existing message "Cannot perform bulk actions on documents assigned to others" is shown.

AP Invoices: Mailbox View Upgrade for Documents Created and Documents Not Created

This release introduces an upgraded user experience for the Documents Created and Documents Not Created cards in the mailbox view. By default, attachments are displayed in a collapsed view; users click the chevron beside an attachment to expand it and see all documents created from that attachment. The redesigned view also surfaces document classification, current location, document status, assignee, and a Quick Dismiss action at a glance. The new view is consistent across Console Email, the Document Details page, and Tasks.

What's New

  • Collapsed view by default displays attachments in a collapsed state; users click the chevron beside an attachment to expand the view and see all documents created from it. The chevron points upward in the collapsed state and downward in the expanded state.
  • Attachment column shows each incoming attachment, with a count indicator for the number of attachments processed.
  • Documents Created column lists every document created from an attachment as its own line, supporting cases where one attachment produces multiple documents.
  • Classification column shows the current classification (Invoice, Credit Memo, Others, or any future classification) and updates dynamically as classification changes.
  • Currently Present in column indicates which tab the document is in: Active Data, Written to SoR, or Dismissed Documents.
  • Document Status column shows the current status of the document within its current tab.
  • Assignee column shows the user the document is assigned to.
  • Quick Dismiss action opens the standard dismissal pop-up and updates dynamically when changes are made directly in the Documents tab. The action remains disabled for documents in the Dismissed Documents and Written to SoR tabs.
  • Skeleton loader is shown while the Documents Created section initializes, given the volume of details that need to load.
  • Attachments Processing loader appears beside the Attachments heading while attachments are being processed. As each document is created, it is appended to the Documents Created section; the Documents Not Created section appears once all attachments have finished processing.
  • Card display adapts to attachment processing outcomes: only the Documents Created card is shown when every attachment produces a document; both cards are shown when some attachments produce documents and others do not; and only the Documents Not Created card is shown when no attachments produce documents, with the Documents Created card appearing once a user creates a document from an attachment.
  • "Reason" column has been removed from the Attachments Not Created section so its layout matches the Documents Created card.

Notes

  • The Quick Dismiss action appears only for documents assigned to the current user.
  • A small chevron icon that previously appeared beside the "Attachment" column header has been removed; chevrons on individual attachment rows remain for expand and collapse.

AP Invoices: Write to SoR Experience Update

This release updates the Write to SoR experience so that users remain on the Document Details page with an in-progress overlay when they trigger a write. The change keeps users in context, supports navigation between documents while writes are in progress, and surfaces validation outcomes directly on the document where the action was taken. This behavior applies across all tenants and Enterprise Resource Planning (ERP) systems.

What's New

  • Write in Progress overlay is shown on the Document Details page with the message "Writing document to ERP" and a "Return to Active Data" button.
  • Next and Previous navigation remains accessible during the write, so users can move to adjacent documents while a write completes in the background.
  • Successful write outcome dismisses the overlay, navigates the user back to Active Data, and moves the document to the Written to SoR tab.
  • Validation failure outcome dismisses the overlay, keeps the user on the Document Details page, and displays validation or reconciliation errors at the top of the page.
  • Background completion continues a write that was initiated and then dismissed via "Return to Active Data"; the document status updates on the user's next visit to Active Data or Written to SoR.

AP Invoices: Rotate Button in Document Preview Across All File Types

This release extends the rotate control in the AP Invoices document preview to apply across PDF, image, Excel, and Word file types. The control is positioned in the standard toolbar location.

  • Rotate support is available for PDF, image, Excel, and Word document previews.
  • Standard toolbar placement matches the location used across other preview controls.

AP Invoices: Workday Validation Error Handling Inside Auditoria

This release introduces in-Auditoria handling of Workday custom validation errors for Workday tenants. The errors are fetched and displayed directly on the Document Details page in Auditoria. Previously, when a write failed Workday validations, the document was created in Draft status in Workday, and users had to navigate to Workday directly to see the specific errors. Users can now resolve validation issues and retry writes inside Auditoria.

What's New

  • SmartFlow configuration option "Handle ERP Validation Failures in Auditoria" is added with values Required and Not Required (Not Required is the default for all tenants).
  • Validation error fetch runs immediately after a write attempt when the option is set to Required.
  • Validation error display at the top of the Document Details page uses a two-column layout for Critical and Warning errors and is scrollable when the number of errors exceeds the available height.
  • "Validations Failed in ERP" status is applied to documents that fail validation, is filterable on the list page, and is included in downloaded reports.
  • Action button state disables Change Classification, Attach, Reprocess, and Dismiss while a document is in Validations Failed in ERP state.

Notes

  • This feature is applicable only to Workday tenants.
  • The default value of "Handle ERP Validation Failures in Auditoria" is Not Required, which preserves the current behavior of moving documents to Written to SoR even when they are created in Draft status in Workday.

AP Helpdesk: Reply Handling Insights

This release introduces Reply Handling Insights, which gives AP/AR Operations Managers and Helpdesk Administrators visibility into how agent-generated reply drafts are being handled. When a user discards a draft, they are prompted to select a reason code. When a draft is edited and sent, the scope of the edit is captured. When a user composes and sends a reply directly, metadata is captured describing how and from where the reply was sent. The data informs decisions about reply template coverage and reply generation quality.

What's New

  • Discard reason prompt is required when a user discards a draft at the draft level or via Done. The reason codes are: Not Needed, Incomplete Content, Incorrect Content, Handled Externally, and Other (which requires free-text input).
  • Edit scope capture tags edited-and-sent drafts as Minor, Moderate, Significant, or Additive. For Moderate, Significant, and Additive outcomes, an agent-generated description of the change is included.
  • Outbound reply metadata is captured for user-sent replies, including: sent from console, task, or mailbox; whether sent by the task assignee; whether sent as a reply to the original sender, to new recipients, or as a forward; whether sent as an agent reply follow-up; presence of attachments; and time elapsed since the email was last processed.
  • Intent and relevance tagging records the agent-detected macro or business intent of the inbound message and the relevance of the reply scope to the original email.
  • Summary capture stores an agent-generated three-sentence-maximum summary of what was sent.

AP Accruals: Full Workday Posting Rule Evaluation for Ledger Accounts

Auditoria now resolves ledger accounts for AP accruals by evaluating the full Workday Account Posting Rules logic, including spend category hierarchy walk-up and additional dimensions such as Program or Fund. Previously, Auditoria evaluated only the direct spend category on the Purchase Order (PO) line, which limited matching to single-dimension posting rules. The result is more accurate ledger account resolution on accrual journal entry lines, with reduced manual intervention.

What's New

  • Unique single-condition match auto-populates the ledger account when a dimension-value pair on the accrual line maps to exactly one account.
  • Dual-condition match evaluates a secondary condition when a dimension-value maps to two accounts; if exactly one candidate satisfies all conditions, the ledger account is auto-populated.
  • Multi-condition match applies a compound condition (Dimension 1 + Value 1 AND Dimension 2 + any of the candidate's secondary values) when a dimension-value maps to more than two accounts; if exactly one candidate satisfies the full compound condition, the ledger account is auto-populated.
  • Hierarchy match populates the ledger account when the accrual line value rolls up to a parent spend category referenced in a posting rule.
  • Ambiguity fallback leaves the ledger account blank for manual resolution when zero or multiple candidates still qualify after all evaluation steps.

Notes

  • Evaluation respects the existing order of posting rules; the resulting account is the first account that satisfies the condition.

AR Collections: Exact-Day Filtering for Dunning Notification Invoice Tables

This release updates the invoice table embedded in AR Collections dunning notification emails to use exact-day filtering for the days-past-due value. Previously, the table was populated using a date range, which could include invoices that fell within a span of days past due. With this release, the table includes only invoices that match the exact day-past-due of each notification tier (30, 60, or 90 days). Customers receive clearer, milestone-specific notifications, and AR Collections teams have predictable, tier-aligned content in each email.

The change applies only to the invoice table embedded in the dunning notification emails. Other "Days Past Due" filters elsewhere in AR Collections continue to work as before.

What's New

  • 30-day notification tier includes only invoices that are exactly 30 days past due.
  • 60-day notification tier includes only invoices that are exactly 60 days past due.
  • 90-day notification tier includes only invoices that are exactly 90 days past due.
  • Filter type change for the dunning notification invoice table: the "Days Past Due" filter previously operated as a date range and now operates as exact-day filtering.

SmartResearch: Platform Updates

This release delivers two SmartResearch platform updates: the SmartResearch landing page rotates the welcome message on each visit, and SmartResearch table displays use an updated table component.

2. Fixed Bugs

  • SmartResearch: Datatable column alignment in chat responses

  • Symptom: In SmartResearch chat responses that returned tabular results, columns in the main data table appeared offset from the data rows, and column headers in the footer data table were displayed in underscore-separated format.
  • Impact: Users reviewing query results, such as the count and total amount of purchase orders per year, saw misaligned columns, affecting readability of the result set.
  • Workaround: No workaround was available.
