Understanding the Purchase Orders List Fields

Overview

The Purchase Orders page in SmartGL \ AP Accruals displays a tabular list of all synced purchase orders. Each column represents a key attribute that helps you quickly review PO details without opening the PO record.

From the screenshot, the Purchase Orders list includes the following columns.

Column Name

Description

PO Number

The purchase order number from the source system (for example, the ERP PO number). This is the main identifier used in procurement workflows and vendor communications. Clicking the PO Number opens the Purchase Order Details page.

Vendor Name

The name of the supplier associated with the purchase order. This helps you immediately see which vendor the PO was issued to and aligns with the vendor records available elsewhere in SmartGL.

PO Status

The current lifecycle status of the purchase order (for example, Draft, Open, Closed, or Canceled). This lets you quickly distinguish between POs that are still in draft, active, or completed.

Date

The purchase order date, such as the date the PO was created or approved in the source system. Often used for aging analysis and period-based reporting.

Currency

The transaction currency in which the purchase order is denominated (for example, USD). All amounts on the PO are expressed in this currency.

Notes:

Note 1: Additional columns (such as entity, total amount, or tags) may appear depending on your SmartGL configuration and screen size.

Note 2: You can scroll horizontally (if enabled) to view any extra columns not visible in the initial view.
