Toolbar Actions and Currency Filter

Overview

At the top of the Bills table in SmartGL, the toolbar provides quick access to tools for changing the currency display, searching records, tagging selected bills, and filtering the list.

The Bills toolbar includes:

  • Currency Filter (Base / Foreign)
  • Search
  • Tag
  • Filter

These tools help you quickly narrow, organize, and review bill records directly from the Bills page.

1. Currency Filter

The Currency Filter lets you control how currency amounts are displayed in the Bills table.

In the toolbar, under Currency, you can choose:

  • Base
  • Foreign

Base

When Base is selected:

  • Monetary values in the Bills table are shown in your organization’s base currency.
  • This view is useful when reviewing bills in a common currency across the dataset.

Foreign

When Foreign is selected:

  • Monetary values are shown in the bill’s transaction currency.
  • This view is useful when reviewing amounts in the original vendor billing currency.

Switching between Base and Foreign changes only how amounts are displayed in the Bills list. It does not change the underlying transaction data.

2. Search Bills

Use the Search field in the toolbar to quickly find bills by text value.

You can search using values that appear in the Bills table, such as:

  • Vendor Bill Internal ID
  • Vendor Bill Ext ID
  • Vendor Name
  • Other visible text in the row

To search for bills

  1. Click in the Search field in the toolbar.
  2. Enter a full or partial value.
  3. The Bills list updates to show matching records.
  4. To return to the full list, clear the search text.

Tip: Partial text works well for broader searches. For example, you can enter part of a vendor name or part of a bill number.

3. Tag Bills

Use the Tag control to apply tags to selected bill records.

Tagging helps organize bills for review, reporting, or follow-up workflows.

To tag bills

  1. Select one or more bills using their checkboxes.
  2. Click the Tag icon (often depicted as a price tag shape) in the toolbar.

  1. In the Tag as dialog:
    • Enter the tag in the search box to find or choose existing tags.
    • To create a new tag, click Add New Tag and enter the name.

  1. Assign and apply tag(s) to your selected bills.
  2. For tag maintenance:
    • Click Manage Tags to edit or delete existing tags.

Tip: Tags can be used as a filter for future searches, audits, or reporting.


4. Filter Bill Records

Use the Filter control to refine the Bills table by column values.

On the Bills page, clicking the Filter icon displays an inline filter row beneath the column headers. From there, you can enter filter criteria for one or more columns.

Depending on the column, filters may include:

  • A comparison operator, such as containsinless than, or on or after
  • A value field
  • A date picker for date-based fields

To filter bill records

  1. Click the Filter icon in the toolbar.
  2. In the filter row that appears below the column headers, choose the appropriate operator for a column.
  3. Enter or select the filter value.
  4. Repeat for additional columns if needed.
  5. Review the updated Bills list.

To sort bills

You can sort Bills directly from the table by clicking an individual column header.

  1. Move to the column you want to sort by.
  2. Click the column header.
  3. The Bills table is reordered based on that column’s values.
  4. Click the same column header again to reverse the sort order.

A sort indicator may appear in the selected column header to show which column is currently sorted.

Tip: Sorting works well together with filters and search. For example, you can first filter bills by status and then sort the remaining records by Due Date or Total Amount.
