Understanding Invoice List Fields

Overview

The Invoices table in SmartCustomer (AR Collections) is the central workspace for viewing and managing customer invoices synchronized from your ERP. Each row represents a single invoice, and the columns provide the information needed for collections, promise‑to‑pay follow‑up, and dispute handling.

Field NameDescription
Invoice NumberThe unique identifier of the invoice as defined in your ERP or system of record. Clicking the invoice number typically opens the detailed invoice view.
Notification AutomationIndicates the AR Collections notification or automation status for this invoice (e.g., whether collections workflows or reminders are configured and active for this customer/invoice).
Customer NameThe name of the customer associated with the invoice. Clicking the name opens the Customer Details page for that customer in AR Collections.
EntityThe legal entity, company, or business unit that owns the invoice (e.g., a specific subsidiary). Helpful for organizations operating across multiple entities and collections teams.
Invoice StatusThe current status of the invoice, such as Open, Paid, Partially Paid, Disputed, or other configured states that describe where the invoice is in the collections lifecycle.
AmountThe original total amount of the invoice at the time it was issued, before any payments, credits, or adjustments. Displayed in the selected currency (Base or Foreign).
Amount RemainingThe current outstanding balance on the invoice after all applied payments, credit memos, and adjustments. When the amount remaining reaches zero, the invoice is typically considered fully paid.
Age (Days)The number of days since the invoice’s Invoice Date (or another configured reference date), showing how long the invoice has been open. Larger values indicate older invoices and higher priority.
Disputed AmountThe portion of the invoice amount that is currently under dispute. Helps collectors quickly identify invoices that may require dispute resolution instead of standard collections follow‑up.
Invoice DateThe date on which the invoice was issued. Frequently used for aging calculations, collections reporting, and trend analysis.
Due DateThe date by which payment is expected according to the invoice terms. This date is used to determine whether the invoice is current or overdue in AR Collections views and workflows.
Scheduled Payment DateThe date on which payment is planned or scheduled for this invoice, if recorded (e.g., based on a customer’s promise‑to‑pay).
Scheduled Payment AmountThe amount that is planned or scheduled to be paid on the Scheduled Payment Date. Helps collectors understand expected future cash inflows during follow‑up.
TagsUser‑defined labels applied to the invoice for segmentation, routing, or workflow (e.g., High Priority, Strategic Account, or Escalation). Can be used to filter and organize work in collections.

Currency Toggle: In the upper‑right corner of the Invoices page, you can switch between Base and Foreign currency views. This affects how monetary fields (such as Amount and Amount Remaining) are displayed.
