Understanding AR Collections Customer List

Overview

The AR Collections Customer List displays customers that are in scope for AR Collections automation for the selected ERP, mailbox, and entity.

Use this list to:

  • Review open AR and aging by customer

  • See classification and enrollment status

  • Identify customers with active disputes or long invoice age

  • Quickly navigate into customer‑level collections details

You can access this list from SmartCustomer → Customers when AR Collections is enabled.

AR Collections Customer List Fields

The columns in the Customers view are:

Field

Description

Customer Name

Name of the customer as received from the ERP. Click to open the customer’s detailed AR view.

Customer ID

Unique identifier for the customer in the ERP (for example, customer account number).

Enrolled

Indicates whether Notification Automation (AR Collections dunning) is enabled for this customer.

Classification

AR Collections classification assigned to the customer (for example, Key Account, Regular Account).

Hierarchy

Customer hierarchy information (for example, parent/child or group). Shows [None] when not defined.

Active Disputes

Number of open/active disputes associated with this customer.

Total Balance

Total open AR balance for the customer.

Under Open Balance, the list shows how the customer’s open AR is aged:

Description

Current Balance

Portion of open AR that is not yet due.

1–30 Days

Amount currently 1–30 days past due.

31–60 Days

Amount 31–60 days past due.

61–90 Days

Amount 61–90 days past due.

90+ Days

Amount more than 90 days past due.

Unapplied Payment

Payments received but not yet applied to specific invoices.

Unapplied Credit

Credit memos or adjustments not yet applied to invoices.

Additional account‑level fields:

Field

Description

Next Scheduled Payment Date

Date of the next expected/scheduled payment, if available.

Next Scheduled Payment Amount

Amount of the next scheduled payment, if provided.

Oldest Invoice Age

Age (in days) of the oldest open invoice for this customer.

Relaxed Matching Domains

Email domains that are allowed for relaxed matching (for example, supervaluecorp.com).

Tags

Any tags applied to the customer (for example, internal labels or categories).


Filters and Context

Above the table, you can:

  • See a count of customers (for example, Customers (205)).

  • Use Clear All Filters to reset any applied filters.

  • Use the search box and icon tools (filter, column settings, etc.) to refine the list.

  • Use the Entity dropdown on the right to switch between legal entities or business units (for example, World of Widgets, Inc.).

At the bottom, you can control pagination:

  • Rows per page (for example, 20)

  • Page navigation (for example, Page 1 of 11)


How AR Collections Fields Are Used

  • Enrolled and Classification together determine:

    • Whether the customer is managed by AR Collections automation, and

    • Which dunning schedules and templates apply (based on the classification configured in the Classification and Notification steps).

  • Active Disputes, Oldest Invoice Age, and aging buckets under Open Balance help you:

    • Identify high‑risk or long‑overdue customers.

    • Prioritize follow‑up actions.

  • Unapplied Payment and Unapplied Credit highlight situations where cash or credits exist but are not yet applied, which may impact dunning behavior and customer communication.
