Save and Run

Overview

At the top of the page, a progress bar highlights your current step (Save and Run) in the SmartCustomer configuration workflow:

Connection → Settings → Classification → Notification → Save and Run

In the main area, you will see:

  • A reminder banner:

    • For example: “Please go to SmartCustomer/Customer page to enroll customers after completing the SmartFlow configuration.”

  • Instructions:

    • “Click Run to save configuration and start SmartFlow automation.”

  • A status warning if AR Helpdesk is also enabled in this SmartCustomer instance:

    • For example: “On RUN, AR Helpdesk will stop running.”

At the bottom of the screen:

  • Previous and Run buttons allow you to navigate or start the flow.

How to Complete the Save and Run Step

1. Review the configuration summary

Before clicking Run, ensure that earlier steps are complete and accurate:

  • Connection

    • The correct ERP is connected.

    • The correct AR mailbox is selected and connected.

  • Settings

    • AR Collections is turned on or off as intended.

    • Dunning preferences (Customer Level vs Invoice Level, consolidation and hierarchy options) are set correctly.

    • AR Helpdesk is turned on or off as required for this SmartCustomer instance.

  • Classification

    • All required customer classifications exist (for example, Key Account, Regular Account, Escalation).

    • One classification is marked as the default (if appropriate).

  • Notification

    • Schedules (by due date, invoice date, and/or consolidated monthly) are configured for each classification.

    • Email templates are configured, including:

      • CC, subject, and body.

      • Dunning Tables and Dunning Table Settings (for example, Show total amount outstanding).

      • Variables inserted using Insert Value.

      • Attachments to the notification (invoice PDFs, statement PDF/CSV, etc.) where needed.


2. Check for warning messages

If your configuration change affects other SmartFlows or modules, the Save and Run screen displays warning text in red.

Common AR Collections–specific warnings include:

  • AR Helpdesk impact

    • Example: “On RUN, AR Helpdesk will stop running.”

    • This means:

      • When you click Run, the current AR Helpdesk SmartFlow in this SmartCustomer instance will be stopped.

      • Inbound AR email handling will no longer be processed by AR Helpdesk until it is reconfigured and restarted.

Read any warnings carefully before continuing. If the warning is not what you intend:

  • Click Previous to go back and adjust earlier configuration (for example, re‑enable AR Helpdesk or change Settings).


3. Click Run

When you are satisfied with all prior steps and understand any warnings:

  1. Click Run.

  2. SmartCustomer:

    • Saves your configuration for AR Collections (and related modules in this SmartFlow).

    • Starts (or restarts) the SmartFlow with the updated settings.

    • If applicable, stops AR Helpdesk automation when warned.


4. Run Confirmation Pop‑Up

After you click Run, SmartCustomer displays a confirmation pop‑up.

From your UI, the message reads:

“After this SmartFlow runs, you can check the process details and status in the SmartCustomer from the menu.”

This confirms that:

  • Your SmartFlow for AR Collections has been started or updated.

  • You should use the SmartCustomer menu (for example, Customers, Documents, and AR views) to monitor processing and status.

The pop‑up includes:

  • Do not show me this again

    • Select this checkbox if you do not want to see this informational pop‑up the next time you click Run for this SmartFlow.

  • OK

    • Click OK to close the pop‑up and return to the application.

After Clicking Run

Once the Run action is complete:

  • The SmartCustomer SmartFlow for AR Collections is active with your latest configuration.

  • You are automatically redirected to the SmartCustomer dashboard.

  • From the dashboard and left navigation you can:

    • Go to the Customers page to enroll customers in AR Collections (as indicated on the Save and Run screen).

    • Monitor AR activity and collections outcomes via Documents, customer views, and related AR pages.

If you saw and accepted a warning such as “On RUN, AR Helpdesk will stop running”:

  • The AR Helpdesk SmartFlow is stopped for this SmartCustomer instance.

  • Inbound AR email handling is no longer automated until AR Helpdesk is reconfigured and run again.


At the bottom of the Save and Run screen, you will see navigation buttons:

  • Previous
    Click to return to the Notification step if you need to adjust dunning schedules, templates, Dunning Tables, variables, or attachments before running the SmartFlow.

  • Run
    Click to save your configuration and start (or restart) the SmartCustomer SmartFlow for AR Collections with the current settings.

Tip: Use Save and Run as a final review checkpoint. Confirm that Connection, Settings (including AR Collections and AR Helpdesk), Classification, and Notification all reflect your organization’s AR collections policy before clicking Run. If you’re unsure about the impact (especially when warnings mention AR Helpdesk or data changes), consult your AR administrator or internal owner of the SmartCustomer configuration.
