Toolbar Actions – Internal Documents

Overview

Use the toolbar at the top‑right of the Internal Documents page in SmartCustomer to add, search, refine, and audit internal, non‑customer‑facing documents.

The toolbar includes:

  • Add New Document

  • Search Internal Documents

  • Filter Internal Documents

  • Audit Log

1. Add New Document

Use Add New Document to upload and register a new internal document.

How to add a new internal document:

  • Go to the Internal Documents page in SmartCustomer.

  • Click Add New Document on the toolbar.

  • In the Add New Document dialog, enter the required fields (for example, name, type, entity, and any custom entity names).

  • Select and upload the file for the internal document.

  • Click Save to create the internal document entry.

The new document is added to the Internal Documents list and becomes available for search, filtering, and audit logging.

2. Search Internal Documents

Use the search box to quickly locate internal documents.

How to search:

  • Go to the Internal Documents page in SmartCustomer.

  • Click in the Search field on the toolbar.

  • Type a value such as:

    • Document name

    • File name

  • The list updates to show only internal documents that match your search term.

  • Clear the search text to return to the full (unfiltered) internal documents list.

3. Filter Internal Documents

Use Filters to display only the internal documents that meet certain criteria (for example, specific entities, users, or last‑modified dates).

How to filter internal documents:

  • On the Internal Documents page, click the Filter (funnel) icon on the toolbar.

  • In the filter row at the top of the table, configure one or more of the following columns:

    • Name

    • File Name

    • Type

    • Entity

    • Custom Entity Names

    • Currency

    • Last Modified

    • Modified By

  • Select an Operator such as:

    • contains

    • in

    • on or after

    • on or before

    • between

  • Enter the Value for each filter.

  • Apply the filters to update the Internal Documents list.

  • Remove individual filter values or clear all filters to reset the view.

4. Audit Log

Use Audit Log to view the history of changes made to internal documents.

How to open the Audit Log:

  • On the Internal Documents page, click the More actions (three‑dot) icon on the toolbar.

  • Select Audit Log.

The Audit Log opens in a new view and displays a chronological list of audit entries for internal documents, including who performed each action and when.

4.1 Search in Audit Log

Use the Search field at the top of the Audit Log page to quickly find specific audit entries.

To search in the Audit Log:

  • On the Audit Log page, click in the Search field.

  • Enter text that appears in one or more columns (such as document name, file name, or user).

  • The Audit Log list updates to show only entries that contain the search text.

  • Clear the search text to return to the full set of audit records.

The search applies across the visible columns in the Audit Log table.

4.2 Filters in Audit Log

Use the filter row at the top of the Audit Log table to narrow the audit history by date/time, action, user, and document attributes.

To apply filters in the Audit Log:

  • On the Audit Log page, locate the filter row at the top of the table.

  • For each column you want to filter:

    • Select an operator from the dropdown.

    • Enter or select a value.

  • The Audit Log updates to show only entries that match all active filters.

  • Remove filter values or reset operators to clear the filters and return to the full list.

4.3 Audit Log filter fields

The following filter fields are available in the Audit Log for internal documents.

NamecontainsFilters audit records by the internal document name. Only entries where the Name field contains the specified text are shown.
File NamecontainsFilters audit records by the stored file name of the internal document. Only entries where File Name contains the specified text are shown.
TypeinFilters audit records by document type. Only entries where the Type value is included in the selected set are shown.
EntityinFilters audit records by legal entity, company, or business unit. Only entries where the Entity value is included in the selected set are shown.
Custom Entity NamesinFilters audit records by associated custom entities. Only entries where Custom Entity Names include at least one of the selected values are shown.
CurrencycontainsFilters audit records by currency. Only entries where the Currency field contains the specified text are shown.

Tip: Combine Search with the Date/Time, Action, and User filters to quickly identify who changed an internal document, what was changed, and when the change occurred.
