Understanding Internal Documents

Overview

The Internal Documents page in SmartCustomer is the central location for storing and managing internal, non‑customer‑facing documents related to AR activities. These can include internal reconciliations, working spreadsheets, process notes, or supporting files that you want to keep associated with an entity or custom entity, but not send to customers.

This article explains the fields and actions available on the Internal Documents page.


Viewing Internal Documents

To view internal documents:

  1. In the top navigation bar, click Internal Documents.

  2. The Internal Documents list opens, showing one row per internal document (or No Internal Documents Available when the list is empty).

The list displays standard columns such as Name, File Name, Type, Entity, Custom Entity Names, Currency, Last Modified, and Modified By.

FieldDescription
NameThe display name of the internal document as it appears in the list. This is typically a user‑friendly title describing the purpose or contents of the document.
File NameThe actual file name of the uploaded document. This reflects the name of the file stored in the system.
TypeThe document type or category. Used to quickly identify the kind of file stored.
EntityThe legal entity, company, or business unit that the internal document is associated with. This helps keep documents scoped to the correct entity when you operate in a multi‑entity environment.
Custom Entity NamesThe custom entity or entities linked to the document. Displays any custom entity names associated with this internal document.
CurrencyThe currency context for the document, when applicable. Displays the currency assigned to the document, if configured.
Last ModifiedThe date and time the internal document was last updated in SmartCustomer. Sorting by this column helps you find the most recently changed files.
Modified ByThe user who last modified the internal document. Useful for tracking ownership and follow‑up when clarifications or updates are needed.

Note: The exact columns and labels available in the Internal Documents list may vary depending on your organization’s configuration and permissions.
