Overview

At the top right of the Contracts list, you find tools for searching, filtering, customizing, and exporting.

  • Search Box – Enter any contract number, vendor, or status to instantly filter results.
  • Filter Icon – Click to show filter fields under each column header for advanced, multi-field filtering.
  • Customize Columns – Click to select which columns to show/hide for your workflow.
  • Export Icon – Export the currently visible/filtered records to CSV.

1. Search Contracts

The search box efficiently locates contracts by number, vendor, status, or other identifying information. As you type, the list updates in real time to display matching records.

How to Search for Contracts:

  1. Locate the search field at the top right of the Contracts list.
  2. Click into the search field and begin typing a Contract Number, Vendor Name, or Contract Status.
  3. The list of contract records will dynamically filter as you type.
  4. To clear the search and return to the full Contracts list, delete the text from the search box.

Tip: For broader results, use partial contract numbers or names (e.g., typing "TestCN" matches all vendors with "TestCN" in their names).

Note: The search runs across all visible and filterable columns, depending on your current settings.


2. Filter Contracts

Filtering lets you narrow the contracts list based on specific criteria for more straightforward navigation and reporting.

How to Filter Contracts:

  1. Use the row of filter fields directly above the Contracts list.
  2. For each column (e.g., Contract Number, Vendor Name, Contract Status, Currency):
    • Click the drop-down arrow to choose a filter operator (such as containsequalsin, etc.).
    • Enter a value to use as a filter.
  3. The Contracts list updates in real time to show matching records.
  4. Clear any filter with Clear All Filters to display the complete Contracts list.

How to sort tasks

  • Click a column header to sort; click again to toggle ascending/descending. Sorting respects your current filters.

Tip: Combine filters (e.g., Vendor = "TestCN" and Status = "Open") for advanced targeting. Note: All filters work instantly and only on records currently loaded in your view.


3. Customize Table Columns

Personalize the PO list to display only the columns you need. This will help you focus on relevant data and reduce on-screen clutter.

How to Customize PO Table Columns:

  1. Click the Edit Columns icon (three vertical bars) in the toolbar.
  2. The Edit Columns panel will appear, listing all PO columns.
  3. Check or uncheck columns to show/hide them.
    • Checked columns appear in your view.
    • Some columns (such as PO Number, Vendor Name, and PO Status) may be mandatory (with a lock icon).
  4. Use the search box at the top for quick column lookup.
  5. Click Apply to save changes, or Restore Default to revert.

Note: Column visibility changes only affect your own session or profile, not other users. 

Tip: Adjust columns based on your current task (e.g., add Contract Status and Vendor Name for audits, or Date and Currency for contract reviews).


4. Export Contracts

You can export the currently displayed list of contracts to CSV for offline reporting, audit, or analysis.

How to Export Contracts:

  1. Apply any desired filters or column customizations.
  2. Click the Export Contracts icon in the toolbar.
  3. The exported CSV will contain only the records currently visible in your view (filtered records) and only the columns currently shown.

Tip: Always filter and tailor your view before exporting to save time and ensure relevant data is shared.
