How to Search for Purchase Orders:
- Locate the search field at the top right of the Purchase Orders tab.
- Click into the search field and begin typing a PO number, vendor name, or keyword.
- The list of PO records will dynamically filter as you type.
- To clear the search and return to the full PO list, delete the text from the search box.

Tip: For broader results, use partial PO numbers or names (e.g., typing "Logistics" matches all vendors with "Logistics" in their names).
Note: The search runs across all visible and filterable columns, depending on your current settings.
2. Filter Purchase Orders
Filtering lets you narrow the purchase order list based on specific criteria for more straightforward navigation and reporting.
How to Filter Purchase Orders:
- Use the row of filter fields directly above the PO list.
- For each column (e.g., PO Number, Vendor Name, PO Status, Date, Currency):
- Click the drop-down arrow to choose a filter operator (such as contains, equals, in, etc.).
- Enter a value to use as a filter.
- The PO list updates in real time to show matching records.
- Clear any filter or use “Reset” to display the complete PO list.

Table 1. Common Purchase Order Filter Fields
| Filter Field | Operator/Options | Example Usage |
|---|---|---|
| PO Number | contains, equals | Filter to POs with "582" in number |
| Vendor Name | contains, in | Vendors containing "BNSF" |
| PO Status | in, not in | Show only "Open" purchase orders |
| Date | equals, before, after | POs after 01/01/2025 |
| Currency | in | Filter to USD, EUR, etc. |
Tip: Combine filters (e.g., Vendor = "Logistics" and Status = "Open") for advanced targeting. Note: All filters work instantly and only on records currently loaded in your view.

- The Edit Columns panel will appear, listing all PO columns.
- Check or uncheck columns to show/hide them.
- Checked columns appear in your view.
- Some columns (such as PO Number, Vendor Name, and PO Status) may be mandatory (with a lock icon).
- Use the search box at the top for quick column lookup.
- Click Apply to save changes, or Restore Default to revert.

Note: Column visibility changes only affect your own session or profile, not other users.
Tip: Adjust columns based on your current task (e.g., add PO Status and Vendor Name for audits, or Date and Currency for finance reviews).
4. Export Purchase Orders
You can export the currently displayed list of POs to CSV for offline reporting, audit, or analysis.
How to Export POs:
- Apply any desired filters or column customizations.
- Click the Export Purchase Orders icon in the toolbar.
- The resulting CSV file will contain only records and columns visible in your current view.
Note: Only data visible on-screen (with any applied filters and columns) appears in your export.
