Toolbar Actions – Accrual Groups

Overview

The Accrual Groups toolbar in SmartGL provides several essential actions for managing your accrual groups efficiently:

  • Add New: Create a new accrual group with assigned ownership, a credit account, and vendor assignments.
  • Search: Quickly locate specific accrual groups using the search bar.
  • Export: Export a list of accrual groups in CSV format for external review or reporting.

This section provides details on each toolbar action, with a focus on the Add New workflow.


Add New – Creating an Accrual Group

The Add New button allows you to define and configure a new accrual group directly from the toolbar.

How to Add a New Accrual Group

  1. Click Add New: Locate and click the Add New button on the Accrual Groups page toolbar.
  2. Enter Required Details:
    • Name: Enter a unique, descriptive name for the accrual group.
    • Owner: Click the drop-down and select a responsible user (Owner) from the list of eligible roles 

    • Credit Account: Click the drop-down to choose the ledger account to be used for accrual posting. This list is sourced from your ERP system’s Chart of Accounts. 

      Common Credit Account Choices:

      • Accounts Payable
      • Accrued Expenses
      • Accrued Liabilities
      • Payroll Liabilities
      • Tax Payable or VAT Payable
      • Other Current Liabilities
      • Custom GL accounts defined by your organization

      Note: If you do not see a required account, please make sure it is available in your integrated ERP and mapped in Auditoria.

  3. Save or Cancel:
    • Click Save to create the group with your specified settings.
    • Click Cancel to discard and exit the workflow.

Assign Vendors (Edit Mode Only)

After creating an accrual group, use the edit function to open the group for vendor assignment:

  1. Click the pencil (edit) icon next to the group name.
  2. Open the vendor assignment selector to display all eligible vendors.
  3. Use checkboxes to add or remove vendors. Use search and pagination features as needed.
  4. Click Apply to confirm vendor selections.

Note: Vendors may only be assigned or unassigned during edit mode, after the group has already been created.


Search

  • Use the Search field in the toolbar to filter displayed accrual groups by group name, owner, or credit account.
  • Search updates the visible list in real time as you type, helping you quickly locate and verify any group.

Export

  • Click the Export icon to download a CSV file listing all currently visible accrual groups and their details.
  • Tip: Use Search before exporting to extract only the subset of groups you need for review or audit.
