The Connection step is the first stage in configuring an AP Accruals SmartFlow instance in Auditoria. In this step, you connect your organization’s ERP system and mailbox to enable seamless accrual automation and communication.
Figure 1: Connection Step in AP Accruals SmartFlow Configuration
What You Do in the Connection Step
- Connect Your ERP System: Select and authorize the ERP platform (such as Workday, NetSuite, Oracle, or Coupa) that will be integrated with AP Accruals. This connection allows Auditoria to access supplier lists, open PO/PR reports, and financial data required for accurate accrual estimations.
- Connect Your AP Mailbox: Link your organization’s shared AP mailbox (for example, an Office 365 or Gmail address). This mailbox will be used by AP Accruals to send and receive supplier communications, estimated spend requests, and automated notifications.
- Verify Connections: The configuration page will display the status of both the ERP and mailbox connections. Ensure both are connected and shown as active before continuing to the next step.
Mailbox and ERP Configuration Restrictions
Important:
- Each AP Accruals SmartFlow instance must be mapped to a single ERP system and a single AP mailbox.
- A mailbox can only be assigned to one AP Accruals workflow at a time.
- If you need to reassign a mailbox or ERP connection to a different workflow, you must first stop the current AP Accruals instance. Stopping an instance will remove all prior configuration and history for that mailbox and workflow.
The system enforces these restrictions during configuration. Only eligible ERP connections and mailboxes (not already assigned to another active workflow) can be selected. This ensures accurate data mapping, prevents duplicate processing, and maintains audit traceability.
Key Points
- Both ERP and mailbox connections are required to enable full AP Accruals automation.
- If you encounter a connection error, follow on-screen troubleshooting steps or contact your Auditoria administrator.
- You can click Cancel (top right) at any time to exit the configuration process.
Tip: Connecting your ERP and mailbox at this stage ensures that all subsequent SmartFlow automation steps have access to the necessary data and communication channels.
