Overview

At the top right of Purchase Orders tab, use these tools to search, filter, customize, and export the list:

  • Search Box — Enter a PO number, vendor name, or status to filter results as you type.
  • Filter Icon — Display filter fields below each column header for advanced, multi-field filtering.
  • Customize Columns — Choose which columns to show or hide for your workflow.
  • Export Icon — Download the currently visible (filtered) records as a CSV file.

1. Search Purchase Orders

Use the search box to quickly find purchase orders (POs) by number, vendor, status, or other identifying details. Results update in real time as you type.

How to Search for Purchase Orders:

  1. Go to the Search box at the top right of Purchase Orders tab.
  2. Type a PO number, vendor name, status, or keyword.
  3. The list filters dynamically to show matching POs as you type.
  4. Clear the search box to return to the full list.

Tip: Use partial values for broader matches (for example, typing “Logistics” returns vendors with “Logistics” in their names).

Note: Search runs across visible and filterable columns based on your current column settings.


2. Filter Purchase Orders

Use filters to narrow Purchase Orders list for quicker review and reporting.

How to Filter Purchase Orders:

  1. Click the Filter icon. A row of filter fields appears under each column.
  2. For any column (e.g., PO Number, Vendor Name, PO Status, Date, Currency):
    • Choose an operator (such as contains, equals, in, before, after).
    • Enter a value.
  3. The list updates in real-time and displays only rows that meet all active filters (using AND logic).
  4. Clear individual fields to remove a filter, or click Reset to return to the full list.

How to sort Purchase Orders:

  1. Click a column header to sort by that column.
  2. Click the same header again to toggle ascending/descending.

Note: Sorting applies to the records currently visible in your list (after any active filters).

Tip: Combine filters (e.g., Vendor = "Logistics" and Status = "Open") for precise targeting.

Note: All filters work instantly and only on records currently loaded in your view.


3. Customize Table Columns

Personalize the PO list to display only the columns you need. This will help you focus on relevant data and reduce on-screen clutter.

How to Customize PO Table Columns:

  1. Click the Edit Columns icon (three vertical bars) in the toolbar.
  2. The Edit Columns panel will appear, listing all PO columns.
  3. Check or uncheck columns to show/hide them.
    • Checked columns appear in your view.
    • Some columns (such as PO Number, Vendor Name, and PO Status) may be mandatory (with a lock icon).
  4. Use the search box at the top for quick column lookup.
  5. Click Apply to save changes, or Restore Default to revert.

Note: Column visibility changes only affect your own session or profile, not other users.

Tip: Adjust columns based on your current task (e.g., add PO Status and Vendor Name for audits, or Date and Currency for finance reviews).


4. Export Purchase Orders

You can export the currently displayed list of POs to CSV for offline reporting, audit, or analysis.

How to Export POs:

  1. Apply any filters and adjust columns so the list shows exactly what you need.
  2. Click the Export icon in the toolbar (top right).
  3. A CSV file downloads with only the rows and columns visible in your current view.

Note: Only data visible on-screen (with any applied filters and columns) appears in your export.

Tip: Always filter and tailor your view before exporting to save time and ensure relevant data is shared.
