Toolbar Actions

The Tasks tab in AP Helpdesk provides a set of toolbar controls above the task table. These controls help you efficiently manage, filter, and export both User Tasks and SmartBot Tasks.


Toolbar Controls

  1. Action dropdown
    Use the Action dropdown to perform bulk actions on selected tasks. Available actions include assigning or unassigning tasks and changing task status (for example, Mark as Open or Done). Only tasks with Status = New or Open are eligible for assignment actions; Done tasks are excluded.

  • Refresh icon
    Click the Refresh icon to reload the Tasks list with the latest data. This updates the list with newly created tasks, updated assignees, statuses, and SmartBot outcomes. Your current filters, sort order, and visible columns remain unchanged.

  • Search box
    Use the Search box to quickly filter the Tasks list by Task ID (full or partial). The search is case-insensitive and applies only to the Task ID field. To search other fields, use the column filters.

  • Filter Records icon
    Click the Filter Records icon to display column-level filters beneath each header. Filters use AND logic across all active fields. Clear a field or click Clear All Filters to restore the full list.

  • Sort columns
    Click any column header to sort the Tasks list by that field. Click again to toggle between ascending and descending order. Sorting respects your current filters and column visibility.

  • Edit Columns icon
    Use the Edit Columns icon to customize which columns are shown or hidden in the Tasks list. Locked columns remain visible. Click Restore Default to revert to the default column view. Changes affect only your profile and session.

  • Export Tasks icon
    Click the Export Tasks icon to download a CSV file containing only the rows and columns currently visible (respects filters and column selections). Each CSV export is limited to 10,000 rows. For larger exports, use date range filters and run multiple exports as needed.

Notes

Note 1: The header checkbox selects only the visible page. Apply filters and repeat for additional pages as needed. Tenant-specific “select all pages” behavior may vary.

Note 2: Done tasks are hidden by default. Adjust the Status filter to include Done if you need to review completed work.

Note 3: Export includes only the rows and columns that are currently visible after applying all filters and column customizations.
