Navigating to Tasks Page

Overview

The Tasks page in AP Helpdesk provides a centralized workspace for monitoring, filtering, and managing all workflow tasks.

To access the tasks tab:

  1. In the left sidebar, select SmartVendor (Auditoria).

  2. In the top navigation bar, click the Tasks tab.

Tasks Page Features

  • Default View:
    By default, the Tasks page is blank because the Tasks tab filters out DONE tasks. To view DONE tasks, clear or edit the filters.

  • Tabs:

    • User Tasks: Require human review or action, created from incoming inquiries in Collaborative Mode.

    • SmartBot Tasks: Recorded from SmartBot automation outcomes, typically view-only.

  • Task Table Columns:
    Task ID, Vendor Name, Email, Sender Type, Summary, Detected Intents, Added, Assignee, Priority, Status, Task Type.

  • Filtering and Search:

    • By default, tasks are filtered to show those with status "New, Open, or Done."

    • Use the Status filter to refine the list further.

    • Use the Search box and Filter Records icon for advanced filtering.

  • Toolbar Actions:

    • Action dropdown: Perform bulk actions such as Assign/Unassign, Assign to Me, or change status.

    • Edit Columns icon: Customize which columns are displayed.

    • Export Tasks icon: Export the current task list.

    • Clear All Filters button to reset filters.

  • Pagination:
    Controls at the bottom of the table (e.g., "Rows per page: 20", "1-5 of 5", "Page 1 of 1").

  • Role-Based Visibility:

    • AP Helpdesk Managers/Super Admins: View all tasks (assigned and unassigned).

    • Analysts/Specialists: See unassigned tasks and tasks where they are the assignee.

  • Viewing Completed Tasks:
    To view completed (DONE) tasks, clear or edit the default Status filter to include "Done" tasks.

  • Task Details:
    Click any Task ID to open a detailed view of the selected task.
