SmartBot Processing

Overview

The SmartBot Processing section provides detailed metrics on how incoming accounts payable emails are classified, processed, and resolved by the SmartBot. Use this section to monitor automation coverage, review processing outcomes, and identify opportunities for workflow improvement.

SmartBot Processing displays segmented data for emails processed, detected intents, and invoice submissions. You can use the date range selector to filter data by 1 Day, 7 Days, 30 Days, 365 Days, or a custom range.

SmartBot Processing includes the following panels, each with its own interactive drill-down dialog:

Description

Emails Processing

Bar chart of total emails processed, segmented by intent outcome and sender type.

Intents Detected

Bar chart of detected AP request types (intents), with breakdown by sender type.

Invoice Submissions

Bar chart of invoice submissions, segmented by sender type and processing outcome.


Emails Processing

The Emails Processing panel displays a bar chart showing the total number of emails processed, segmented by intent outcome and sender type.

Actions available in the panel:

  • Hover over any bar to view a tooltip with counts and percentages by intent outcome or sender type.

  • Click any legend label (such as Single Intent, Multiple Intents, No Intents, or sender types) to show or hide that series in the chart.

  • Click any bar to open the interactive drill-down dialog for that segment.

  • Use the export icon to download the chart data in PDF, PNG, SVG, CSV, or XLSX format.

Emails with a single detected intent.

Multiple Intents

Emails with multiple detected intents.

Internal

Emails from internal senders.

External Cohort

Emails from external cohort senders.

Interactive Drill-Down for Emails Processing

Clicking a bar in the Emails Processing chart opens a dialog with a table listing all emails associated with the selected intent outcome or sender type.

Drill-Down Table Columns:

Column

Description

Sender Name

Display name of the sender.

Sender Address

Sender’s email address.

Message

Email subject or preview.

Received Date

Date and time the email was received.

Vendor Name

Name of the matched vendor, if applicable.

Task ID

Unique identifier for the associated task; clickable to open task details.

Status

Current status of the task or email (e.g., NEW, OPEN and DONE).

Available actions in the drill-down dialog:

  • Go to Email: Click the envelope icon under the Vendor Name column to open or view the specific email in your mailbox.

  • Export Data: Download the table as a CSV file (up to 10,000 rows per export).

  • Pagination: Navigate through multiple pages of results.

  • Rows per page: Adjust the number of rows displayed per page.


Intents Detected

The Intents Detected panel displays a bar chart showing the number of AP request types (intents) detected, with a breakdown by sender type.

Actions available in the panel:

  • Hover over any bar to view a tooltip with counts and percentages by intent or sender type.

  • Click any legend label (such as Payment Status, Remittance Advice, Invoice Submission, PO Info, Record Update, Short Pay Inquiry, or sender types) to show or hide that series in the chart.

  • Click any bar to open the interactive drill-down dialog for that intent or sender type.

  • Use the export icon to download the chart data in PDF, PNG, SVG, CSV, or XLSX format.

Drill-Down Table Columns:

Sender Name

Display name of the sender.

Sender Address

Sender’s email address.

Sender Type

Classification of the sender (Enrolled, Unenrolled, External Cohort, Unknown).

Received Date

Date and time the email was received.

Invoice

Invoice file or identifier.

Processing Outcome

Result of processing (e.g., Invoice Transferred, Duplicate Invoice).

Task ID
