AP Invoices: Global Date Display Format Setting

Auditoria SuperAdmin Users can now choose a global date display format for AP Invoices to match regional preferences. This setting, located in SmartFlow Configuration, applies to the display of dates in the AP Invoices tabs—Dashboard, Documents, Bills, Purchase Orders, and Contracts. The default format is MM/DD/YYYY until changed.

What’s New

  • Centralized Setting: Locate this in SmartFlow Configuration, featuring easy-to-use radio buttons and format examples.
  • Choose Your Date Format: Select the date format that works best for your region—MM/DD/YYYY (default), DD/MM/YYYY, or DD-MMM-YYYY (e.g., 03-MAR-2025).
  • Three-Letter Months: If you select DD-MMM-YYYY, the month displays as a three-letter abbreviation for clarity.
  • Consistent Display: List views for all business objects (such as Vendors, Bills, etc.), detail pages, and reports in AP will all use your selected date format for clear, consistent viewing.
  • Instant Update: As soon as you save your settings, all existing and new records are shown in the chosen format—no reprocessing needed.

Important Notes

  • Scope: This change applies only to the AP Invoice product (Documents, Bills, POs, Contracts); Helpdesk is not included.
  • Display-Only: Filters, date inputs/edits, and date pickers are not affected at this time. Tooltip reminders in edit mode will still display the default expected date format.
  • Credit Memos: The date format for credit memos is automatically set to match the AP Invoice setting to maintain consistency.

AP Invoices - Context-Aware Edit Columns Display for Documents Section

The Edit Columns feature in the Documents section has been enhanced to provide a more focused and intuitive column customization experience based on your current workflow context. Previously, the Edit Columns view in the Documents section displayed all available columns across Active Data, Written to SoR, and Dismissed Documents tabs simultaneously, creating unnecessary clutter and confusion.

What’s New

  • Context-Aware Columns:
    • Edit Columns now shows only the fields related to your selected tab:
      • Active Data tab: Customize only Active Data columns.
      • Written to SoR tab: Customize only Written to SoR columns.
      • Dismissed Documents tab: Customize only Dismissed Documents columns.
  • Restore Defaults:
    • The Restore Defaults button now affects only the currently active tab, letting you reset views independently.
  • Streamlined Customization:
    • Fewer, more relevant options make updating column visibility faster and easier.

AP Invoices: Workday Validation Error Detection and Alerts

Auditoria now provides immediate visibility into validation errors that occur in Workday after invoices are submitted from Auditoria. When validation failures are detected, users receive clear notifications and status indicators, enabling faster issue resolution without manual ERP monitoring.

What's New

  • Automatic Validation Detection: The System detects Workday validation failures immediately after invoice submission and notifies users within Auditoria.
  • Clear Error Messaging: Failed validations display the message: "Document created in ERP, but some validation(s) failed. Please review and correct the document in your ERP" on the document details page.
  • Enhanced Status Display: Invoices with validation failures appear in the Written to SoR tab with status: "Record Updated. Validations Failed in ERP" (hover to view full error message).
  • Complete Audit Trail: All validation failures logged in document audit history for compliance and troubleshooting.

Benefits

  • Faster Issue Resolution: Immediate notification eliminates the need to manually check Workday for validation failures.
  • Improved Workflow: Clear status indicators and consistent error messaging streamline the correction process.
  • No Data Loss: Invoices are successfully created in Workday ERP - only validation errors require correction directly in the ERP.

Availability: This feature is available for all Workday ERP customers.

AP Invoices: Automatic Invoice-to-Vendor Resolution

The automatic invoice-to-vendor resolution feature introduces an enhanced vendor matching algorithm. It assigns vendor names to invoices by combining enhanced extraction methods, existing vendor hints, and historical assignment data.

Vendor names are assigned automatically using the updated extraction process and available hints. If a hint exists, it takes priority and is not overridden. Existing hints continue to function as before. Users can add, update, or edit hints at any time, with no restriction on the number of hints. Current hints remain unaffected and continue to be used for vendor assignment. Hints can be updated if they do not work as expected. If hints are not available, the system matches the vendor name from the invoice to the closest vendor in your entire vendor list. The updated process supports vendor names in multiple languages. For non-English names, a relevant hint should be configured for best results. This change reduces manual vendor assignment and correction steps.

AP/AR Helpdesk: Task Suppression for Threaded Messages

Helpdesk now supports task suppression to help prevent unnecessary task creation in busy email threads, reducing task fatigue while preserving SmartBot’s intelligent processing.

What’s New

  • Automatic Task Suppression Mode:
    • If a thread already has NEW or OPEN tasks, new tasks are not created for further messages in that thread.
    • Suppression automatically turns off when all tasks on the thread are marked DONE.
  • Manual Task Suppression Mode (Optional):
    • Task assignees, managers, and superadmins can manually apply or lift suppression for individual emails or threads.
    • Access this option from the message menu (⋮).
  • Additional Capabilities:
    • Add tasks to suppressed messages at any time using "Add User Task."
    • New tasks will start being created again automatically or manually when suppression is lifted.
  • Enhanced Tracking:
    • Message Metadata: Shows a "Task Suppressed" field with [Yes] or [No] status.
    • Task Audit Log: Tracks whenever suppression is turned on or off by both SmartBot and users.
    • Dashed Intent Labels: Even while suppressed, you can still see detected intents on emails in the mailbox view.
  • Configuration:
    • Enable this feature in SmartVendor or SmartCustomer SmartFlow Settings under Task Suppression for Threaded Messages.
    • Choose between Automatic, Manual, or both suppression modes.
    • Automatic mode is enabled by default.

Benefits:

  • Eliminate Task Fatigue: Prevents redundant tasks for every message in active threads.
  • Flexible Control: Lets you combine automated suppression with manual override when needed.
  • Maintained Intelligence: SmartBot continues to analyze suppressed messages for better thread understanding.

Permissions:

  • Applying and lifting manual suppression are limited to tasks assigned to the users, AP/AR Helpdesk Managers, and SuperAdmin.

AP/AR Helpdesk: Improved Intent Reasoning for SmartBot Emails

Helpdesk now shows you exactly why SmartBot assigned specific business intents to incoming emails. This added transparency helps users understand and trust the system’s automated decisions.

What’s New

  • Intent Detection Explanations: See explanations for why each SmartBot-detected intent was assigned—directly in the email workflow.
  • How to Access:
    • Message Metadata: Expand to view a list of numbered intents, each accompanied by its corresponding explanation.
    • Task Details: Click the chevron next to any detected intent to view its reasoning text.

Benefits:

  • Increased Transparency: Understand the logic behind SmartBot’s email classification.
  • Faster Decision-Making: Instantly check why SmartBot selected an intent, eliminating the need to review the original email.
  • Improved Trust: Clear explanations help users feel confident in the automation.

Notes

  • Reasoning is only available for intents detected by SmartBot during initial email processing.
  • Manually assigned intents do not display an explanation.
