AP Invoices: Incorrect Attachment Extraction from Microsoft O365 Threaded Conversations
Symptom: The SmartBot was extracting attachments from previous emails in a threaded conversation, causing incorrect and duplicate document extraction when it should have only processed attachments from the most recent email reply.
Impact: Users observed duplicate or outdated files appearing in the documents tab for AP Invoices. This led to manual intervention, as users had to dismiss unnecessary duplicates, reducing efficiency and causing confusion in invoice processing.
Workaround: Users could manually dismiss the duplicate files in the documents tab until the fix was implemented. No automated workaround was available.
AP Helpdesk: Automatic Task Distribution – Assignment Rule Failures in Edge Cases
Symptom: Automatic Task Distribution rules failed to assign tasks accurately under certain conditions. Specifically, rules did not trigger when keyword patterns included trailing spaces, or when keywords were matched within HTML/CSS instead of the actual message content.
Impact: Tasks were not being assigned as intended based on Automatic Task Distribution (ATD) policy rules, causing incorrect or missing assignee assignments and disrupting automation. This required additional manual intervention by users.
Workaround: Users could manually update the task assignee while waiting for the resolution.
AP Helpdesk: Vendor Invoice Submission Intent & SmartBot Action Persistence
Symptom: Users are able to deselect the "Vendor has submitted an invoice" SmartBot action within SmartFlow configuration even when Collaborative Mode is enabled, but SmartBot continues to label invoice submissions and create tasks despite this intent being disabled.
Impact: When Collaborative Mode is enabled, the system incorrectly allows users to deselect the "Vendor has submitted an invoice" SmartBot action in SmartFlow configuration. However, this UI change does not modify actual AP Helpdesk processing—labels and tasks for invoice submissions are still created. This leads to user confusion and does not prevent the intended automation.
Workaround: There is currently no defined workaround available. The UI now prevents deselection of this intent when Collaborative Mode (CoMo) is enabled, ensuring consistent behavior. Disabling task actions is supported, but the main intent cannot be disabled in CoMo.
AP Helpdesk: SmartBot Reply Drafts Missing Additional Recipients
Symptom: Not all recipient email addresses (including additional recipients and CCs) were included in SmartBot-generated reply drafts.
Impact: When SmartBot reply drafts were generated, some recipient emails were missing, which could result in incomplete communications and required users to manually add the missing addresses.
Workaround: Users could manually add the missing recipient email addresses by editing the SmartBot reply draft before sending. This workaround is no longer necessary after this fix.
AP Helpdesk: Contact List Not Appearing When Composing Email
Symptom: The contact list did not display when clicking the "To" field while composing a new email from the customer mailbox.
Impact: Users were unable to quickly select a recipient from the contact dropdown, resulting in a less efficient email composition process and increased potential for addressing errors.
Workaround: Users could type the first letters of the recipient’s email address to access auto-suggestions and manually select the correct contact.
