AP Helpdesk, AR Helpdesk: Intent Detection for Unknown Sender Emails

Intent Detection for Unknown Sender emails is now generally available for all deployments of SmartVendor AP Helpdesk and SmartCustomer AR Helpdesk.

Detected intents for Unknown Sender emails result in corresponding soft-labels (hashed outline; not written upstream to connected mailbox) added to emails and emails threads in HD Mailbox.

Note: The transition from limited availability (LA) to general availability (GA) should have little to no impact on existing Helpdesk customers, as Intent Detection for Unknown Sender emails was either already enabled as part of initial Helpdesk deployment or as a fast follow after it released in limited availability.

 

AP Helpdesk, AR Helpdesk: General Availability - Relaxed pre-check (support for email received via Cc/Bcc/Alias/Redirect)

Relaxed Pre-Check for SmartVendor AP Helpdesk and SmartCustomer AR Helpdesk is now generally available (GA).

Relaxed Pre-Check is an optional setting enabling SmartFlow processing of emails received by connected mailboxes wherein the connected mailbox email address is not the message TO value.

Supported use cases include SmartFlow processing of emails received by way of mailbox email address Cc, Bcc, alias, or redirect. Without Relaxed Pre-Check enabled, these emails sync from connected mailboxes, are visible in consoles, but do not benefit from intent detection, SmartBot replies, added tasks, and other SmartBot processing actions and outcomes.

Relaxed Pre-Check is enabled via SmartFlow Skills Management “Settings” page for SmartVendor and SmartCustomer, nested under configuration for Collaborative Mode. Collaborative Mode is required for enabling Relaxed Pre-Check.

Connected mailbox aliases can be added via Administration >> Mailbox Settings for respective connections, by clicking “Add Alias Email”.

Message Metadata now includes “Method”, which communicates how an email reached a connected mailbox. Values include one or more of the following: [To][Cc][Bcc][Alias][Redirect].

 

AP Helpdesk, AR Helpdesk: Dashboard Date Selector Persistent Dates with Apply To All

Helpdesk Dashboard date range selector for Mailbox Intelligence, SmartBot Processing, Tasks Overview, and Tasks & Utilization metrics now supports an “Apply To All” option for ease of use and simplified data navigation.

With the data selector expanded, add a check to the “Apply To All” checkbox and click “Apply” to synchronize Start Date and End Date across all qualifying dashboard charts and tables.

Additionally, date range preference will persist when navigating to and from Helpdesk Dashboard and other areas of the console.

AP Helpdesk, AR Helpdesk: Enhanced UI for Autonomous Mode Tasks

Look and feel of Helpdesk Autonomous Mode User Task Details and SmartBot Task details is updated to more closely align with the layout of Helpdesk Collaborative Mode User Tasks (aka Review Tasks).

Reference below table for mapping of original Autonomous Mode User Task fields with the Collaborative Mode layout equivalent:

AP Helpdesk, AR Helpdesk: Tasks Tab "User Tasks" and "Review Tasks" Consolidation

Helpdesk Console Tasks tab layout updated for ease of use and simplified navigation. Most notably, Task tab “Review Tasks” and “User Tasks” views have been unified, with all non-SmartBot tasks nested under “User Tasks”.

Default view on navigating to Tasks tab is now “User Tasks”, for both Autonomous Mode and Collaborative Mode Helpdesk Consoles.

AP Invoices: Payment Terms Options

AP invoices users should see Two new options for Payment Terms in their wizard settings. The first new option is a Radio button that reads “Use Default Vendor Setting from SoR”. For the first option, Payment terms will NOT be extracted from the vendor bill file rather populated based on info at the Vendor record level. All of the invoices for the respective vendor will be defaulted to the SAME payment terms. User can edit further as needed. The second new option is an additional selection in the dropdown list for when the radio button “Extract first and auto generate if not available” is selected. This option is called “Default Vendor Setting from SoR”. For the second option, If payment terms is not present on an invoice, the payment terms should default to the vendor default payment terms. User can edit further as needed.

Note, when the radio button option to Extract first and auto generate if not available and the dropdown of “Default Vendor Setting from SoR” is selected and there is an unknown vendor, the terms will not be updated upon switching the vendor name. The terms would be auto updated when the radio button option “Default Vendor Setting from SoR” is selected.

 

AP Invoices: User warning when clicking Next button without saving first

If an invoice is edited and NOT saved, and the user clicks the next button, they will receive a soft warning message. User can opt to continue or cancel and save their changes.

 

AR Collections: Entity level Dunning templates

SmartCustomer now supports entity specific dunning templates for AR Collections. By default, all entities will share the same dunning template and the template will be determined by the customer classification for the invoice that triggers dunning. Users can opt to create additional templates for an entity that would be selected based on the invoice that triggered dunning. To use the new templates, select edit SmartCustomer from the wizard menu and click through to the Notification template section. Select “Add Entity Specific Template” and select the entity that requires a new template. The template will be auto populated with the current templates. Any entity without a specific template will use the default template. Up to 20 different entity templates can be set.

Customers must be running AR Collections from the SmartCustomer console in order to use this feature. Please contact your Customer Success Manager if you have questions about which version you are running and for details on how to turn on the feature.

When entity specific dunning templates are used, the generated statement will only include invoices for the entity (or entities for default template) of the current template. The dunning tables will remain unchanged and will contain data for all entities for the customer that is being emailed.

 

SmartCustomer AR Collections, AR Helpdesk, AR Remittances: Business Object Tabs Export

SmartCustomer business object tabs including Customers, Invoices, Payments, Credit Memos, and Disputes can now be downloaded to csv. The download will reflect the current filters and download all rows shown in the view. The columns will also match the columns in the current user view. Columns can be adjusted (see screenshot) to include certain additional fields or not include certain optional fields. Required fields will have lock icon next to the field name in the Edit Columns view.
