1. New and Updated Features

AR Helpdesk: New intent "Request for account statement" (Limited Availability)

AR Helpdesk supports detecting and processing account statement requests received by AR Helpdesk SmartFlow connected mailboxes. In addition to adding email labels, customer notes, and console tasks per processing outcomes, replies are sent with PDF account statement attachments when available. To request access to this, contact support@auditoria.ai.

AP Helpdesk: Vendor Invoices received as attachments can be forwarded over email

AP Helpdesk supports detection and processing of invoice submissions sent to AP Helpdesk SmartFlow connected mailboxes. In addition to adding email labels, vendor notes, and tasks per processing outcomes, if a forwarding destination is configured, new invoice submissions are automatically forwarded to a specified email address This forwarding is to support use cases wherein invoice intake is handled separately from standard AP communication, whether manually or via OCR-type automation. The invoice submission business intent also includes a duplicate check for submitted invoices. Supported formats include PDF attachments and PNG, JPEG, and TIFF images larger than 400p x 400p.

AR and AP Helpdesk: Improved Task Navigation

Users in Helpdesk consoles are able to navigate between Tasks, when viewing Task Details, via buttons labeled “Previous” and “Next”. This streamlines navigation between tasks, bypassing the need to return to the Tasks tab to view a different task.

AR and AP Helpdesk: Improved context information available in Tasks

When viewing Task Details within Helpdesk console tasks, users will see new contextual metadata fields and attribute values. These new details provide at-a-glance access to key email processing outcomes, as well as details about the email and email sender.

Advanced Accruals for Suppliers: Improved UX with Supplier name visible at the top of the page

As a user logged in with Advanced Accruals for Suppliers running, when I navigate to the SmartGL page and select the Journal Entries tab and select a supplier, the name of the supplier selected will show up at the top of the page. This helps so I can see the supplier I am working on without needing to expand all of the sections of the page. I can expand my journal entry lines and refer to the top of the page while I finalize my review of the journal entry.

Vendor Invoice Data Extraction: User notifications when quantities on invoices are higher than in the Purchase Order

As a user using Vendor Invoice Data Extraction SmartFlow Skill, I will be notified when vendor invoices have quantities higher than the quantity available in the matched Purchase Order line. The Status of the invoice will read “Vendor bill qty greater than invoice qty”, the qty in the line items will be highlighted in red, and I will see a pop up window with a soft warning when I write the bill the my System of Record. I can choose to continue and write the bill with the qty discrepancy or I can choose to cancel and edit the quantity.

Vendor Invoice Data Extraction: Document Status included in Detailed view

As a user running the Vendor Invoice Data Extraction SmartFlow Skill, when I log in to Auditoria and navigate to and expand a document in the Vendor Invoice Data Extraction page, I can now see the document status in the detailed view. This status is the same status that can be seen in the full list of documents. This helps me be able to refer to the status while reviewing detailed documents without navigating back to the documents list view.

Vendor Invoice Data Extraction: Vendor Bill line details get updated to match PO lines

This feature is for NetSuite Only.

Auditoria will automatically update Vendor Bill line details, specifically the description and rate, in certain scenarios so that what is written to ERP is accurately reflected in the Vendor Bill Document view in Auditoria. The Description (for both item and expense type vendor bill lines) will match the PO description once there is a match between the Vendor Bill Line and a PO line. The rate (for item type vendor bill lines) will update to match the PO rate when a person manually matches an invoice line to a PO line. For scenarios where the Extracted rate is different than the PO rate, the rate will be flagged in red font and will reflect the extracted rate unless a person manually changes the rate or matches the vendor bill line to a different PO line.
